Regional Facilities Manager

Morgan, Lewis & Bockius LLP, one of the world’s leading global law firms with offices in strategic hubs of commerce, law, and government across North America, Asia, Europe, and the Middle East, is seeking to hire a Regional Facilities Manager.

The Regional Facilities Manager is responsible for the overall management and operations of the Southern California offices, including physical space, facilities and furnishings, and conference rooms.  In addition, the Regional Facilities Manager is also responsible for ensuring successful functions of the mailrooms, copy centers and hospitality in the assigned offices.

Maintaining an in-office presence is essential to delivering exceptional service through an integrated and collaborative work culture. In alignment with firm policy, this role is required to work full-time in the office. The position will reside across our Los Angeles, Century City, and Orange County offices and is expected to work in all three locations.

Key responsibilities include:

  • Coordinates space planning and office assignments in coordination with the Office Manager.

  • Supervises all office moves.

  • Participates in construction projects under the direction of the directors of capital projects and administration.

  • Prepares space for all incoming lateral partners and other attorneys and summer associates (i.e. furniture, computers, phones, pictures, books and other belongings). As one of the first points of contact for new partners, convey messages of a caring welcome as they transition to Morgan Lewis. 

  • Supervises the staff in the fulfillment of requests for furniture and file replacement, repairs, key/lock replacement, office space issues, and work room and file room needs. 

  • Coordinates with building management and outside vendors to arrange for maintenance services such as elevator, HVAC, electrical and power, janitorial, plumbing, filter replacement locks and keys, pantry equipment, noises, parking, rubbish removal, guest lists for events, insurance certification for office after-hours work, painting, carpet repair and cleaning.

  • Supervises all repairs, rentals, and replacements to ensure that building and maintenance services are provided in a timely fashion: heating and cooling, carpeting, electrical, plumbing, painting, furniture and fixtures.

  • Responsible for building and office security systems, maintenance and operations including security access cards, keypads, door locks and responding to special requests for reports.

  • Plans and preparations for office disasters and emergencies.  Coordinates Emergency Response Teams, First Aid/CPR/AED training and maintains equipment.

  • Oversee purchase of supplies and the maintenance of the central and satellite supply rooms. 

  • Responsible for working closely with the outsource vendor onsite manager to ensure mailroom and copy services are provided in a timely and accurate manner. 

  • Responsible for overseeing the housekeeping and catering services provided to ensure conference rooms and pantries are cleaned and maintained and food/beverages are provided for meetings, as needed. 

  • Manage the Diners Club corporate card, including handling catering and related expenses and ensuring all charges are accurately processed and coded.

  • Manage Employee parking and setting up WageWorks commuter accounts.

  • Work with Knowledge Solutions team to ensure MorganNet content is kept current for office

  • Assists with the preparation of annual budget for operating and capital expenses.

  • Reviews and submits invoices for payment.

  • Maintains inventory of furniture and obtains proposals for new furniture, equipment and replacement items.

  • Ensures FM Systems are updated with changes to personnel and assets.

  • Establishes/adheres to Department budget; seeks opportunities to improve Department efficiency and reduce expenses by streamlining operations.

  • Providing oversite of 3rd party contractors.

  • This job requires regular interoffice travel to the three southern California offices.

  • This job requires evening and weekend hours and/or availability by phone as needed.

  • Additional responsibilities may be assigned as needed.

Experience and qualifications:

  • Associate’s degree or equivalent from a two-year college or technical school is preferred. Minimum of seven (7) years of relevant experience required, including at least two (2) years in a supervisory or leadership role, or an equivalent combination of education and experience.

  • Ability to carry out detailed but straightforward written and oral instructions and address problems in routine situations.

  • Demonstrates problem-solving skills.

  • Adapt to change and effectively balance competing demands.

  • Proficiency in Microsoft Office applications, including Word, PowerPoint, and Excel.

  • Experience with iManage, OneNote, and Adobe Photoshop preferred.

  • Experience with operating system applications, including floor plan management and security systems.

For positions in Los Angeles, Orange County, and Century City, CA, the salary range for this job posting is: $102,300.00- $163,650.00

The base salary or hourly wage range for this position will be determined during the interview process and will vary based on multiple factors, including but not limited to prior experience, relevant expertise, current business needs, and market factors. The final salary or hourly wages offered may be outside of this range based on other reasons and individual circumstances. Additionally, salary or hourly wages may be only part of the total compensation package. The total compensation package for this position may also include a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered. Details of participation in these benefit plans will be provided if an employee receives an offer of employment.
