About the Role

Step into the role of Regional Executive Assistant and become a key driver of Alcoa Australia's operational success!

We’re seeking a dynamic, forward-thinking professional who thrives on organisation, collaboration, and transforming ideas into action. This is far more than a traditional EA role - you’ll be a trusted partner to our leaders and teams, shaping processes, influencing outcomes, and improving effectiveness of the three Functional Directors you will be supporting ensuring seamless execution across the region. Your key focus areas and purpose will be:

  • Executive Support & Scheduling: Delivering high-level, confidential support to Regional Directors and their teams, including email and calendar management, stakeholder liaison, and coordination of meetings and events.

  • Project & Department Coordination: Enhancing departmental efficiency by coordinating internal and external resources for projects, managing scheduling requirements, and streamlining processes in collaboration with other assistants.

  • Travel & Logistics Management: Overseeing all travel arrangements for executives and designated team members, including visas, accommodation, credit card reconciliation, and related mobility tasks.

  • Information & Reporting: Preparing and collating reports, presentations, and statistical data; managing lead team meetings by setting agendas, tracking actions, and distributing communications across locations.

  • Systems Expertise & Continuous Improvement: Acting as a resource and trainer for office and enterprise systems, support onboarding, assist with budget administration, and contribute to process improvements aligned with strategic priorities.

What you can bring to the role

  • You’ll bring extensive experience serving multiple executives delivering high-level administrative support in complex organisational settings, with a strong understanding of executive responsibilities and legal obligations.

  • Outstanding organisational, communication, and interpersonal skills, with a proven ability to manage sensitive information discreetly and maintain strict confidentiality.

  • High energy with a proactive approach towards creating a positive team environment, consistently demonstrating behaviours that foster inclusion, collaboration, and a high-performance culture.

  • Advanced proficiency in Microsoft Office and enterprise systems, combined with a solutions-focused mindset and commitment to continuous improvement.

  • You’re highly self-aware and resilient, able to remain composed under pressure, respond with empathy, and create a supportive atmosphere.

  • A Diploma of Business is considered advantageous, and recent certifications in modern executive assistant practices and technologies are highly regarded.
