About the Role

As a Recruiting Coordinator, you will support and improve the end-to-end hiring process. You’ll lead structured intake meetings, manage active searches, and ensure timely, professional communication with hiring managers and candidates.

You will apply performance-based hiring principles, help reduce time-to-fill, and become a power user of our recruiting systems, leveraging our ATS, sourcing tools, scheduling platforms, reporting dashboards, automation, and AI capabilities to improve efficiency, consistency, and equity.

Performance Objectives

30 Days – Foundations & System Fluency

Goal: Establish responsiveness, structured intake, and tool proficiency.

  • Lead or support structured intake meetings that define clear performance-based outcomes
  • Respond to hiring managers within five business hours
  • Maintain timely, professional communication with candidates
  • Build strong working relationships across recruiting and hiring teams
  • Develop working fluency in ATS, sourcing platforms, scheduling tools, and reporting systems

Deliverables

  • Demonstrated five-hour manager responsiveness
  • Low candidate communication gaps
  • Independent navigation and updates within recruiting systems

60 Days – Execution & Candidate Experience

Goal: Independently manage roles and drive visible pipeline movement.

  • Manage 2 - 4 active requisitions (based on business need and complexity)
  • Source, screen, and present candidates aligned to performance objectives
  • Maintain proactive candidate communication at every stage
  • Strengthen feedback loops between hiring managers and candidates
  • Use recruiting systems and dashboards to monitor pipeline health and reduce bottlenecks
  • Establish and support the intern recruiting program, including defining hiring criteria, building the process workflow, sourcing candidates, coordinating interviews, and ensuring a seamless experience for candidates and hiring teams.

Deliverables

  • Consistent pipeline progress across assigned roles
  • Positive hiring manager feedback on communication and responsiveness
  • Continued positive candidate feedback on the hiring experience

90 Days – Optimization, Automation & Broader Talent Contribution

Goal: Improve recruiting efficiency while contributing to cross-functional talent priorities when capacity allows.

  • Implement at least two process improvements that increase clarity, efficiency, or candidate experience
  • Explore and responsibly pilot automation and AI tools that reduce administrative burden and improve evaluation consistency
  • Recommend enhancements to improve system adoption and data integrity
  • Contribute to measurable improvement in time-to-fill trends
  • Document scalable recruiting workflows and best practices
  • When hiring volume allows, support People Operations initiatives such as onboarding optimization, learning and development coordination, or talent management projects

Deliverables

  • Two documented process or automation improvement recommendations
  • Improved communication turnaround time or pipeline efficiency
  • Recognized as a power user of recruiting tools
  • Participation in at least one cross-functional People initiative during balanced hiring periods
  • Achieve an average of one hire per month (adjusted for complexity and hiring volume)

  • Hiring managers see you as a proactive, responsive, and solution-oriented partner.
  • Successful coordination and completion of at least one intern hiring cycle or milestone within the program timeline 
  • Intake meetings consistently produce clear performance objectives that guide hiring decisions.
  • You confidently manage multiple searches while maintaining steady pipeline progress and improving hiring velocity.
  • Time-to-fill trends show measurable improvement due to better alignment, candidate calibration, and process clarity.
  • Candidates consistently report a professional, transparent, and well-communicated experience.
  • You are recognized as a power user of recruiting systems, using automation and AI thoughtfully to improve efficiency, fairness, and decision quality.
  • Recruiting workflows are more structured, scalable, and predictable than a year prior.
  • You contribute to broader People initiatives when capacity allows, balancing recruiting performance with business needs.
  • You have evolved from coordinator to trusted recruiting partner, influencing hiring quality, team efficiency, and long-term talent strategy.

Location: This position can be based anywhere in the US. We operate as a remote-first company and invest in all-company in-person meetings several times a year.

Performance Driven: We're looking for self-starters with a track record of delivering excellent results, but we're highly selective about who we hire. We don't focus on typical job requirements; instead, we're interested in specific examples from your past experiences. All positions can be based anywhere in the US, and require up to 15 days of travel per year, with senior management and leadership teams requiring up to 35 days.

Compensation: The compensation for this position generally ranges between $50,000-$70,000. At OpenSesame, we offer a comprehensive benefits package to employees upon hire, including professional development, ISOs, health insurance, 401(k) matching, and paid time off.We carefully consider a wide range of compensation factors, relying on market data to determine compensation and consider your specific job family, background, skills, and experience.
