Recruiting Coordinator @ Midi Health
Location: San Francisco, CA - Bay Area | Role Type: Hybrid | Reports to: VP, Talent Acquisition

We are seeking a Recruiting Coordinator to serve as the operational backbone of our Talent Acquisition function. This is a high ownership role responsible for delivering a seamless interview experience while driving rigor across scheduling, reporting, systems, and recruiting operations.
You will work closely with Recruiters, Hiring Managers and the VP of Talent to ensure we hire efficiently, thoughtfully and with a consistently high bar. This role requires precision, urgency, strong judgment, and a proactive mindset.
For the right individual, this role offers a clear path to grow into a Recruiting Operations Manager as the function scales.
To ensure we deliver a seamless and personal experience for every candidate, this hybrid position requires the ability to work onsite at our San Francisco and Palo Alto offices based on interview schedules and team needs.
Key Responsibilities:
Interview Coordination & Candidate Experience
- Own end to end scheduling across interview panels, executive interviews, and final rounds with speed and accuracy
- Manage complex, multi stakeholder calendars across time zones, including partnership with Executive Assistants and senior leaders
- Anticipate scheduling conflicts and proactively resolve issues before they impact the candidate experience
- Maintain a high touch, professional, and responsive candidate communication style
- Continuously identify ways to improve time to interview and overall process efficiency
Leadership Reporting & Recruiting Analytics
- Own data integrity within the ATS to ensure reporting accuracy and reliability
- Support weekly, monthly, and quarterly recruiting updates for leadership
- Partner with TA leadership to track key metrics including funnel conversion, cost to hire, time to fill, and offer acceptance rates
- Assist in building dashboards and preparing executive level reporting materials
- Proactively identify gaps in data or workflow and recommend improvements
Recruiting Operations & Special Projects
- Support ATS optimization and workflow enhancements
- Partner on recruiting technology implementations and tool rollouts
- Contribute to the development and delivery of hiring manager and interviewer trainings
- Document and refine scalable recruiting processes and playbooks
- Take ownership of high impact operational projects that improve quality and efficiency across the hiring lifecycle
Employer Branding & Outreach
- Partner with Talent Acquisition on employer branding initiatives and talent marketing efforts
- Support outreach campaigns and talent community building for priority roles
- Coordinate logistics for recruiting events and strategic sourcing initiatives
- Track engagement metrics and recommend ways to strengthen our talent attraction strategy
Cross Functional Partnership
- Operate as a trusted partner to Recruiters, Hiring Managers, Executive Assistants, and People Operations
- Bring a solutions oriented mindset and strong follow through
- Hold a high standard for responsiveness, quality, and accountability
What Youāll Need to Succeed ā
- 2+ years of experience in recruiting coordination, talent operations, or a similar high accountability environment
- Strong analytical skills and comfort working with recruiting data and reporting
- Exceptional organizational discipline and ability to manage multiple priorities without sacrificing quality
- Experience working in an ATS and managing complex calendar logistics
- Excellent written and verbal communication skills
- High attention to detail and a track record of reliable execution
- Comfort working with senior leaders and operating in a fast paced, high growth environment
Preferred Qualifications:
- Experience supporting executive level recruiting or leadership reporting
- Exposure to ATS implementation or recruiting systems optimization
- Experience contributing to employer branding or talent marketing initiatives
- Demonstrated interest in growing into a Recruiting Operations leadership path
Growth Path: Recruiting Operations Manager
As our Talent Acquisition function grows, this role is designed to evolve into a Recruiting Operations Manager position for an individual who demonstrates strong ownership and strategic thinking. Expanded scope may include:
- Owning recruiting systems strategy and optimization
- Leading reporting strategy and analytics for the TA function
- Driving process design and continuous improvement initiatives
- Managing recruiting technology vendors and roadmap
- Partnering with Finance and People leadership on workforce planning and hiring forecasts
- Leading additional recruiting coordination or operations team members

- Base pay $85-95K, dependent on experience, location and other factors
