As a Recruiting Coordinator at Ridgeline, you’ll play a vital role in executing a thoughtful, efficient, and personalized candidate journey. You'll own the day-to-day coordination of interviews and candidate interactions, helping deliver a best-in-class experience from scheduling through onsite engagement. Working closely with our Talent Acquisition Operations team, you’ll be responsible for executing a polished onsite experience—owning everything from logistics and prep to candidate care. You’ll leverage cutting-edge tools—including AI platforms like ChatGPT and Glean to streamline workflows, improve communication, and optimize how we work.

The impact you will have:

  • Own and deliver seamless interview scheduling across every stage - phone screens, technical interviews, panels, and onsites, balancing time zones, buffers, calendar conflicts, and shifting priorities with calm, thoughtful execution
  • Craft clear, timely, and friendly candidate communications, including confirmations, prep materials, personalized agendas, and proactive updates that ensure every candidate feels prepared and valued
  • Take the lead in delivering a Ridgeline-caliber onsite experience - from greeting candidates with warmth to ensuring rooms, tech, and timing flow seamlessly; partner with TA Ops and Workplace to make every visit feel smooth and intentional
  • Keep our interview engine running with precision, managing interviewer rosters and availability, reworking schedules when needed, and ensuring interview panels are complete, diverse, and ready
  • Champion feedback loops, nudging interviewers for timely scorecard completion and maintaining visibility into feedback health to keep hiring decisions moving
  • Support reference checks and offer logistics, handling sensitive details with professionalism and attention, from reference scheduling to offer packet tracking and onboarding step coordination
  • Maintain clean, accurate data in Greenhouse, ensuring that jobs are posted properly, candidate records are organized, and every step is documented clearly
  • Track and share key metrics, surfacing insights from scheduling and pipeline data that help the recruiting team improve how we work and where we focus
  • Be a steward of our scheduling tools and workflows, managing automation flows in Gem, Greenhouse, and Brighthire to reduce friction and maximize team efficiency
  • Contribute to process documentation and team rituals, helping ensure consistency, clarity, and scale as Ridgeline grows
  • Jump in to support special programs and campus recruiting events, keeping schedules, travel, and room logistics on track so both candidates and Ridgeliners have a smooth experience
  • Spot and act on opportunities to improve how we work, contributing to better documentation, team efficiency, and knowledge-sharing along the way
  • Model Ridgeline’s values - ownership, transparency, and collaboration - in every candidate and team interaction

What we look for:

  • 2-3 years in a coordination, administrative, or operations role (recruiting coordination preferred)
  • Exceptional organization and attention to detail with the ability to manage multiple priorities
  • Clear, professional communication skills across all formats
  • Discretion and sound judgment when handling confidential information
  • Familiarity with Google Workspace, Slack, and ATS tools like Greenhouse and Workday
  • Enthusiasm for delivering outstanding candidate experiences
  • Willingness to learn and leverage AI tools like ChatGPT to streamline tasks and communication
  • A positive, proactive mindset with a strong sense of ownership

Bonus:

  • Experience coordinating complex or high-volume interview schedules
  • Exposure to onsite coordination, hospitality, or event support
  • Background in fast-paced, high-growth environments

Compensation and Benefits 

The cash compensation amount for this role is targeted at $80,000 - $97,500. Final compensation amounts are determined by multiple factors, including candidate experience and expertise, and may vary from the amount listed above.
