About the Role:
The BL Operations Records & Forms Associate (Paper Filing Associate) - is primarily responsible for handling the packet creation, shipment and recording of license applications/renewals that must be submitted by mail. The role focuses on efficiently and accurately generating all components of a filing, including shipping labels, cover letters, documents and checks as well as uploading evidence of submission to our client-facing database. Key responsibilities also include reviewing documents for missing information/accuracy, providing notarized signature on applications, confirming fee calculation accuracy, and requesting fees from the system for check printing. During filing downtime, the CSOA will also be trained on accounting & operations functions and assist with records reconciliation.
Required Job Qualifications/Skills:
Performs other duties assigned by supervisor. Overtime on evenings and Saturdays during busy season may be requested.
A minimum of 1 year office experience including data entry

Knowledge of Office365 Software
Knowledge of Adobe Acrobat
Customer service oriented
Must be reliable and able to carry out tasks independently and collaboratively

Displays flexibility, sound business judgment, and discretion
Consistently high attention to detail and rate of accuracy
Excellent organizational and problem-solving skills
Basic knowledge of Excel, understanding and ability to enter, access and update data
General knowledge of basic accounting and operational principles a plus
Notary is a plus
Responsibilities:
Identify appropriate documents to be enclosed with all submissions
Review documents for missing information and other potential causes of deficiencies
Review and confirm accuracy of fee calculations as needed
Perform the system steps needed to request checks for printing when fees are needed
Provide signature for notarization when required and permitted via customer POA
Compile all required documents and payment into a final packet
Within database, upload copy of final packet, update related license record(s) to “Filed” status, and record check number
Demonstrate diligence with respect to follow ups, both internally and externally, to complete all tasks assigned
Assist with monthly accounting reconciliation responsibilities and special projects as needed
Provide support and coverage for received mail process
Assist Manager, Operations with daily operational functions when needed

Compensation:
$35,600.00 - $59,600.00 USDThis role is eligible for Bonus.
Compensation range listed is based on primary location of the position.
