Receptionist/Executive Assistant

We are seeking a highly organized and proactive professional to serve as a central point of coordination for office operations and executive support. This role provides high-level administrative and operational assistance to senior leadership while ensuring the smooth day-to-day functioning of the office. Responsibilities include managing a broad range of administrative tasks such as coordinating meetings, supporting business operations, processing invoices, and maintaining office services.

In addition, this position plays a key role in planning and executing internal events, administering program rewards, and providing backup support for mail processing. As a highly visible role, it requires strong organizational skills, keen attention to detail, and the ability to effectively manage multiple priorities in a fast-paced environment.

This is a full-time, on-site position in our New York City office. Candidates with a background in financial services will be especially well-suited for this role, given the pace, complexity, and level of interaction with senior leadership.

Essential Duties and Responsibilities:

  • Serve as the first point of contact by answering phone calls and professionally greeting clients upon arrival, maintaining a friendly and service-oriented presence in person and over the phone.
  • Provide backup support to the Office Manager, including front desk coverage, mail handling, and processing of overnight shipments as needed.
  • Deliver day-to-day administrative support to executive leaders, including preparation of PowerPoint presentations, correspondence, calendar management, travel arrangements, and meeting coordination.
  • Coordinate conference room logistics, including setup and catering arrangements for meetings and events.
  • Process and maintain T&E expenses and business invoices in accordance with internal procedures.
  • Assist in planning and execution of employee engagement initiatives and client events.
  • Coordinate gifts within approved budgets and in alignment with the Code of Conduct.
  • Maintain working knowledge of company products, services, and promotions to support inquiries and deliver accurate information.
  • Retrieve and interpret information from internal systems to respond to inquiries clearly and effectively.
  • Research, prioritize, and independently resolve issues, determining appropriate next steps and escalating when necessary.
  • Support a variety of company processes and operational needs as requested.
  • Perform additional administrative and operational duties as assigned.

Knowledge, Skills and Abilities:

  • High school diploma or equivalent required; bachelor’s degree preferred.
  • Minimum of 3+ years of experience supporting senior executives in an Executive Assistant or high-level administrative capacity, with demonstrated success executing responsibilities outlined in this role.
  • Strong executive-level organizational skills with the ability to prioritize, structure, and drive multiple workstreams in a dynamic environment.
  • Proven capability to manage complex, time-sensitive, and concurrent assignments with a high degree of accuracy and discretion.
  • Exceptional written and verbal communication skills, with the ability to effectively engage and influence stakeholders at all levels of the organization.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook), with the ability to leverage tools to enhance efficiency and execution.
  • Demonstrated flexibility and responsiveness, including availability for occasional after-hours communication in support of business needs.
