SPS Global is seeking a professional and service-driven Receptionist to support on-site client operations in New York, NY. This role serves as the first point of contact for employees, clients, and visitors, delivering a seamless and welcoming workplace experience while maintaining operational efficiency and professionalism.
The ideal candidate thrives in a fast-paced corporate environment, maintains composure under pressure, and consistently delivers exceptional customer service. This position also supports cross-functional office services to ensure smooth day-to-day operations.
The Receptionist provides exceptional service by greeting and assisting visitors, answering inbound calls, and ensuring a professional front desk presence at all times. This role maintains accurate visitor records, supports administrative tasks, and assists with light facilities, hospitality, and mail operations as needed.
As part of a collaborative office services team, the Receptionist may be cross-trained in additional service areas including mail services, hospitality support, and general office operations to provide a top-tier client experience.
Working Days & Hours:
Thursdays to Mondays | 2:00 PM – 11:00 PM
Reports To:
Client Services Supervisor, Client Services Manager, or equivalent leadership
Provide 5-star customer service to employees, clients, and visitors
Greet and register visitors; ensure NDA completion and issue temporary or replacement badges
Maintain accurate visitor logs and ensure all loaned badges are returned
Answer and route incoming calls professionally and efficiently, handling confidential matters with discretion
Notify employees of deliveries or coordinate with the Mail Room for receipt
Provide light administrative assistance including scheduling meetings and coordinating catering
Maintain updated phone lists and train backup personnel on front desk procedures
Support clerical tasks as needed
Proactively assist other office service functions during downtime
Maintain clean and organized reception, meeting rooms, pantry, and service areas
Replenish supplies in conference rooms, kitchen, and barista areas
Assist with setting up and breaking down conference rooms for meetings or events
Monitor and order office and pantry supplies
Assist with copy/print services and ensure equipment is functioning properly
Cross-trained to assist with mail services, including sorting and distributing mail
Receive and track packages as needed
High School Diploma or equivalent
1–3 years of experience in reception, administrative, or customer service roles
Proficiency in Microsoft Office and standard office systems (multi-line phones, copiers, scanners)
Strong written and verbal English communication skills
Ability to multi-task and manage priorities while maintaining professionalism
Strong organizational skills and attention to detail
Ability to maintain discretion and confidentiality
College coursework or associate degree
Experience working in a corporate or professional services environment
Exceptional customer service orientation
Professional appearance and demeanor
Strong communication skills
Adaptability and problem-solving ability
Team-oriented, dependable, and proactive
Integrity in handling confidential information
Ability to sit, stand, and walk for extended periods
Ability to lift up to 40 lbs.; wheeled carts may hold up to 60 lbs.
