Job Description
Reporting to the Vice President, Global IT, this role is responsible for answering incoming phone calls to the main switchboard, responsible for greeting visitors, processing incoming & outgoing mail/couriers, requisitioning & receiving office supplies and various ad-hoc administrative tasks as assigned. This role is a full-time permanent opportunity based fully onsite at our Mississauga, ON office location.

Job Responsibilities
- Greeting Visitors (customers, vendors, IKO employees from other locations) – This position is the first face that visitors to our approximately 250-person office will see upon arrival. The expectation is that the person in this role can handle inquiries and direct visitors to the appropriate person/department
- Answering Telephones – This position is responsible for answering all calls to the main switchboard and redirecting calls as appropriate. They must maintain a good knowledge of all departments within the building and understand the organization structure well enough to effectively direct all calls
- Opening/Distributing Incoming Mail & Preparing Outgoing Mail – Incoming mail to the various departments in the building (HR. Payroll, Sales, IT, Finance, Accounts Payable, Accounts Receivable, etc.) will pass through this person for distribution. Outgoing mail will be prepared (i.e. addressed, postage applied, etc.) by the person occupying this position
- Sending & Receiving Courier Packages – All incoming couriers will be received and distributed by the person in this role. Preparation of paperwork and coordination of pick-up times for all outgoing couriers will we handled by the person in this role
- Requisitioning & Receiving Office Supplies – Coordinating office supply requirements and entering purchase order requisitions into JDE will be done by this position. Upon receipt of purchased items, the person in this role will be responsible for entering the receiving information into JDE
- Independent confirmation of vendor/customer bank accounts – As time permits, this role also provides support to the North American Accounts Payable Manager assisting in verification of customer and vendor bank accounts to facilitate electronic bank payments
- Other ad-hoc duty as assigned – In direct support of the North American Finance Director, the person in this position is expected to effectively perform other administrative tasks which are required from time to time
Qualifications
- Minimum 2 years of experience in receptionist, administrative, or front-desk roles
- Professional and welcoming demeanor with strong communication skills
- Proficiency in managing multi-line phones, mail, and courier coordination
- Strong organizational skills with attention to detail
- Comfortable handling multiple tasks and ad-hoc administrative duties.
- Demonstrated knowledge of office software and data entry.
- Discretion and professionalism with confidential information.
