                                                            POSITION DESCRIPTION

                                                  COUNTY OF HAMILTON, INDIANA

POSITION: Receptionist

DEPARTMENT: Surveyor

WORK SCHEDULE: 8:00 a.m. - 4:30 p.m., M-F

STATUS:  Full-time

FLSA STATUS:  Non-exempt

HOURLY RATE: $22.1135 per hour

Incumbent serves as Receptionist for the Surveyor, responsible for answering the telephone, greeting/assisting office visitors, and providing clerical support to department personnel.

DUTIES:

Answers telephone and be able to handle disgruntle people in a professional manner and greet office visitors providing information, taking/retrieving messages, or transferring/directing to appropriate individual or department.

Enters engineering plans, drainage calculations, permits, bonds and other submittals into Posse system.

Receive appropriate fees for permits, maps, copies and ABC permits.  Balance out at end of day.

Doing research such as going through Minutes Book, drain files etc.

Scanning documents and attaching them to appropriate job.  Assists in proofreading drain reconstruction bills and preparation of notices.

Scans old files and new plans. Proofs scanned documents completed by Drainage Board Secretary to ensure accuracy.

Assists the public as needed, such as making copies of documents, assisting in completing forms, answering questions regarding drainage assessments and hearings, and researching information on computer and maps. Completes inspection work orders for reported drainage problems.

Enters data on computer as assigned, and types, copies, files and/or distributes various documents, such as forms, correspondence, plans, and reports. Picks up and distributes department mail.

Periodically performs duties of other clerical personnel in their absence such as taking minutes for Drainage Board, GIS, Web Policy, Wellhead etc.  Copying and scanning documents for meetings. 

Performs related duties as assigned.

I.  JOB REQUIREMENTS AND DIFFICULTY OF WORK:

High school diploma or GED and a minimum of one year of clerical experience, or equivalent combination of education and experience.

Working knowledge of standard office policies and procedures, and ability to apply such knowledge to a variety of interrelated tasks.

Ability to type with speed and accuracy and properly operate a variety of standard office equipment, including telephone, computer, printer, fax machine, copiers and calculator.

Working knowledge of standard English grammar, spelling and punctuation, and ability to effectively communicate orally and in writing with co-workers, other County departments, other municipalities, engineering and surveying firms, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.

Ability to read and interpret various county maps.

Ability to understand and follow oral and written instructions, and appropriately respond to constructive criticism.

Ability to work with others in a team environment, and maintain appropriate, respectful interrelationships with co-workers.

Ability to provide public access to or maintain confidentiality of department information/records according to state requirements.

Ability to competently serve the public with diplomacy and respect, including occasional encounters with irate/hostile persons.

Ability to comply with all employer/department personnel policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.

Ability to work on several tasks at the same time and complete assignments effectively amidst frequent distractions and interruptions.

II.  RESPONSIBILITY:

Incumbent performs standard, recurring duties according to supervisor and service needs of the public. Errors in incumbent's work are usually prevented through procedural safeguards and are readily detected through supervisory review. Undetected errors may result in loss of time for correction, work delays to other departments/agencies, and/or inconvenience to the department or the public.

III.  PERSONAL WORK RELATIONSHIPS:

Incumbent maintains frequent contact with co-workers, other County departments, other municipalities, engineering and surveying firms, and the public for the purpose of exchanging and explaining information.

Incumbent reports directly to Administrative Assistant.

IV.  PHYSICAL EFFORT AND WORK ENVIRONMENT:

Incumbent performs duties in a standard office environment involving sitting for long periods, sitting and walking at will, close vision, speaking clearly, hearing sounds/communication, keyboarding, lifting/carrying objects weighing less than 25 pounds, crouching/kneeling, color perception, and handling/grasping objects.
