Role Overview

We are looking for a professional, friendly, and highly organized Receptionist to serve as the first point of contact for our Nicosia office. The successful candidate will ensure a welcoming front-desk experience while supporting daily office, facilities, and administrative operations.

Key Responsibilities

  • Welcome visitors, ensure compliance with security procedures, issue visitor badges, and direct guests appropriately
  • Provide general assistance to visitors and employees at the Reception Desk
  • Answer and route incoming calls, take messages, and respond to basic inquiries in line with company guidelines
  • Manage meeting room bookings and coordinate logistics when required
  • Receive, prepare, and distribute incoming and outgoing mail and courier shipments
  • Prepare courier envelopes, coordinate collections, and verify courier invoices with Accounting
  • Raise Purchase Orders related to facilities, maintenance, cleaning, security systems, and CRE services
  • Maintain supplier records and register new vendors in the ERP system
  • Coordinate annual contract renewals with suppliers
  • Support facilities operations, including fire drill and medical training coordination
  • Handle basic administrative tasks such as filing invoices, payment vouchers, receipts, and cheque distribution
  • Support visa processing for employees and visitors when required
  • Assist with general office and administrative tasks across departments as needed

Requirements

  • Fluency in Greek and English is mandatory (spoken and written)
  • Previous experience in a receptionist or administrative role is highly preferred
  • Strong communication skills with a friendly, professional, and approachable demeanor
  • Excellent organizational skills and attention to detail
  • Ability to multitask and manage priorities in a fast-paced office environment
  • Proficiency in MS Office (Outlook, Word, Excel)
  • High level of discretion and professionalism when handling confidential information
