JOB DESCRIPTION:

Position Summary:

As the Receptionist at Abbott Diabetes Care, you will be the first point of contact for visitors and callers, ensuring a professional and welcoming environment that reflects Abbott’s commitment to innovation and care. This role supports daily operations through effective communication, visitor management, administrative assistance, and collaboration with internal teams and external partners.

Key Responsibilities:

  • Operate a multi-line phone system to receive and correctly route incoming and outgoing calls.
  • Take and distribute clear, accurate messages promptly.
  • Greet visitors professionally and determine the nature of their visit.
  • Assist visitors sign in to visitor management system (Envoy) according to Abbott Diabetes Care (ADC) Visitor Policy (DOC00171).
  • Notify the appropriate employee or department of visitor arrival or escort visitors as needed.
  • Follow protocol for expected and unexpected government agency visits.
  • Handle routine inquiries with discretion, sharing only information permitted by company policy.
  • Provide general guidance to visitors and callers in a courteous and helpful manner.
  • Schedule and book meeting rooms using Abbott’s internal systems.
  • Prepare documents, type correspondence, and assist with clerical tasks.
  • Organize and distribute incoming mail; manage outgoing mail and courier packages.
  • Manage ADC Reception and Facilities Helpdesk in boxes and triage work order-related requests.
  • Submit work order requests via Maximo and follow up as necessary.
  • Maintain the Reception Manual.
  • Train backup receptionists as appropriate.
  • Complete all mandatory training on time as required by Abbott policies and procedures.
  • Adhere to company standards for safety, confidentiality, and compliance.
  • Work closely with team members, employees, and vendors to ensure smooth operations and excellent service delivery.
  • Support cross-functional communication and assist with coordination of services when needed.

Qualifications:

  • High school diploma or equivalent; additional administrative training preferred.
  • Previous experience as a receptionist or in a customer-facing role.
  • Strong verbal and written communication skills.
  • Proficient in basic computer skills and office software (e.g., Microsoft Office Suite, email, and scheduling tools).
  • Comfortable using technology and able to learn new systems quickly.
  • Strong computer literacy, including data entry and navigating internal systems.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple tasks in a fast-paced environment.

The base pay for this position is

$20.75 – $41.45/hour
