Join Our Team as a People Services Operations Specialist (with German)

As a People Services Operations Specialist you will deliver end‑to‑end transactional HR and payroll support (hire‑to‑retire) for our German population, acting as a first point of contact for employees and business stakeholders while ensuring data accuracy, compliance and a positive employee experience.

Key responsibilities:

  • Transactional HR & Payroll Operations
    • Provide transactional HR support across processes and business units.
    • Process HR transactions accurately and timely; prepare HR & payroll documentation in line with German legal requirements.
    • Support monthly payroll cycle through timely data checks and corrections.
    • Participate in interesting business relevant HR projects (e.g. re-organizations) and collaborate closely with business stakeholders.
  • Customer service & advisory
    • Respond to employee and stakeholder queries via cases and chat (we operate without a hotline); provide first‑line advice on routine HR and payroll questions.
    • Escalate complex or policy‑level issues to HR Business Partners or Specialists; ensure high service levels and customer satisfaction.
  • Data, systems & reporting
    • Maintain and improve HR data quality and employee records to ensure accuracy for payroll and benefits.
    • Produce and distribute standard HR service reports and support ad‑hoc reporting needs.
  • Compliance, confidentiality & risk
    • Handle SPII/PII confidentially and comply with privacy, legal and regulatory requirements.
  • Stakeholder & vendor liaison
    • Liaise with HR Business Partners, partner teams and payroll vendors to resolve issues and ensure seamless operations.
  • Continuous improvement & administration
    • Participate in knowledge transfers, process optimization and standardization initiatives; provide administrative support and filing as required.

Basic Qualifications:

  • Fluent in German and English (both written and spoken).
  • 1–2 years relevant experience in HR Operations and/or Payroll within the German market.
  • Experience with HR systems (Workday preferred; SAP or ServiceNow valued).
  • Advanced user in Microsoft Excel.
  • Excellent attention to detail and proven data management skills.
  • Customer‑centric communication skills and a pragmatic, solution‑oriented mindset.
  • High integrity and ability to handle confidential personal data.
  • Well‑organized, reliable, flexible and able to work in a hybrid model (onsite 2–3 days/week).

Preferred Qualifications:

  • Prior service‑centre or shared‑services experience.
  • Familiarity with German payroll rules and collective agreements.

The annual base salary in Poland for new hires in this position ranges from PLN 84,000 to PLN 140,000 gross, taking into account a number of factors including the candidate’s skills, experience, education level and the market rate for the role. Depending on the role and internal policies, the position may also be eligible for a bonus (if applicable and based on defined, non-discretionary criteria) and/or awards for exceptional performance (granted at the employer’s discretion). All statutory benefits will be maintained in accordance with Polish law. Other benefits may also be offered, which may include private healthcare, additional paid days off, life insurance, private pension plan and fully paid parental leave & care of family member leave. More detailed information on the total reward package applicable to your role will be supplied during the recruitment process.
