We are seeking a detail-oriented and organized Proposal & Contract Specialist to join our dynamic team. This role is critical in supporting our business development efforts by collaborating with internal stakeholders to develop client-ready budgets, proposals, and contracts. The ideal candidate will demonstrate excellent time management, strong communication skills, and the ability to navigate complex requirements while maintaining accuracy and professionalism.
The role can be home or office based.
Receive and analyze Requests for Proposals (RFPs), including study protocols and synopses
Coordinate with Subject Matter Experts (SMEs) and ensure timely assignment and notification
Facilitate proposal preparation across strategic and operational areas, ensuring adherence to Decision Rights policies
Prepare and modify strategic proposals and budgets based on SME feedback and client requirements
Manage the complete RFP lifecycle from receipt to delivery, identifying risks and implementing mitigation strategies
Obtain third-party quotes as needed and ensure alignment with RFP specifications and client communications
Maintain accurate documentation in appropriate systems for metrics and KPI tracking
Create and finalize budgets and contracts in accordance with departmental SOPs and guidance
Amend project budgets in partnership with project and functional teams
Utilize internal tools and reports to develop accurate client budgets
Develop contract strategies and delivery plans with accountable team members
Deliver quality client deliverables to strict deadlines with clear rationale for cost changes
Build and maintain relationships with internal and external stakeholders
Lead and facilitate client meetings to negotiate costs and terms
Prepare draft contract documents from templates in conjunction with relevant departments
Identify contractual issues requiring input from finance, tax, or other stakeholders
University Degree in Life Science, Business, Languages, or equivalent combination of education and experience
Two years of experience in project support, finance, contracting, or proposals in a CRO or similar environment
Basic knowledge of proposal and contract management principles, contractual terms, pricing structures, and data systems (e.g., Salesforce)
Moderate proficiency in relevant software (Windows, Word, Excel, Outlook, Databases)
Previous experience in proposal development is a plus
Highly developed interpersonal skills with confidence interacting at all organizational levels
Strong analytical, time management, and organizational abilities with capacity to multitask
Excellent oral and written communication skills with above-average attention to detail
Fluent in written and oral English
