What this job involves:

JLL is hiring a Property Administrator for a 14 month contract to join the Property Management Team at one of it's prominent downtown client locations.

The Property Administrator is the first point of contact for tenants and guests and is responsible for responding promptly to incoming requests. You will also be responsible for basic accounting duties like journal entries, invoices etc. The ideal candidate has an aptitude for financial accounting and a strong customer service focus

What your day-to-day will look like:

  • Manage incoming calls, emails, and visitor reception with professional customer service. Address tenant inquiries and complaints following company protocols while maintaining positive tenant relationships and ensuring satisfaction.
  • Initiate and track service requests through Prism work order system to Building Operations, cleaners, vendors, and contractors. Coordinate property events and manage monthly parking setups/cancellations with security and parking management.
  • Complete monthly financial accruals and journal entries within deadline requirements. Assist with monthly/quarterly reporting, and prepare tenant billing documentation for rent collection and year-end recoveries
  • Process purchase orders, code and verify invoices for timely vendor payment, and reconcile supplier statements. Maintain tenant accounts receivable, prepare tenant invoices, process rent payments, and manage collections of outstanding arrears.
  • Support capital project monitoring, input construction management fees in billing tracker, and process capital invoices in Procore with appropriate documentation.
  • Maintain comprehensive filing systems for tenant records, service contracts, and insurance certificates. Update emergency procedures and Tenant Handbook. Manage office supplies, equipment maintenance, and assist with special projects and tenant events as assigned.

Required Qualifications:

  • 2 to 3 years’ experience in a commercial property, preferably in operations or tenant management; interest in a Real Estate career path.
  • Working knowledge of MS Office applications required.
  • Good interpersonal, communication and team skills.
  • Aptitude for servicing tenants with the ability to see both the customer’s perspective and the impact on the organization.
  • Ability to multi-task and prioritize to meet changing demands and expectations of clients.

Preferred Qualifications:

  •  Knowledge of Introductory Financial Accounting an asset
  • Knowledge of Real Estate budgeting software such as REALM and Yardi an advantage

Estimated compensation for this position:

55,000.00 – 60,000.00 CAD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
