Position Summary:
This position is responsible for managing the framework, and overall implementation and execution of promotions & special events within the goals and expectations set by the leadership team supporting the business initiatives.
Primary Duties and Responsibilities:
- Promotes superior guest service.
- Maintains and perpetuates a positive organizational culture according to the principles of the Spirit of Tâlícn and the Core Values of ilani.
- Manages and assists in designing, executing, and tracking of all Promotions & Special Events within the scope of ilani event activation on-site and off-site.
- Manages and gives direction to a team to execute promotions and special events, including direct reports and other divisions.
- Orchestrates all aspects of the development and programming of specialty and holiday décor.
- Responsible for proofing and approvals on various marketing materials and collateral creation used for advertising outreach for various special events.
- Responsible for fulfillment of all sponsorship-related agreements on signage and deliverables executing requirements within contracts such as purchase agreements or advertising opportunities, as necessary.
- Negotiates the approval and execution of contracts with vendors, and outside organizations to ensure the execution of all deliverables within the agreements.
- Assist in forecasting and tracking ticketing strategy for special events
- Liaises with all operational departments to ensure support to implement and execute events.
- Updates budgets and forecasting activity to all special events, including evaluation and measurement. Manages budgets for multiple events at a time.
- Works with the appropriate internal and external talent to schedule and train team members supporting special events in various roles.
- Supports all aspects of event design and format including event builds, vendor bids. Works with the purchasing team to ensure all deliverables are completed and delivery and set-up/take down is scheduled accordingly.
- Maintains and respects confidentiality of special events, entertainment, and marketing programs.
- Responsible for planning and executing all off-site marketing and volunteer events such as external festival activation, non-profit event activation, and other event activation as directed.
- Works with other senior marketing leaders on preparing the annual marketing budget and makes recommendations for short and long-term revenue enhancements.
- Works with the other senior marketing leaders on developing and executing ilani’s marketing calendar.
- Develops and manages monthly expense forecasting for the promotions and special events budget to include monthly expense forecasts, mid-month forecasting updates, and month-end close to effectively track expenses and maintain budgetary guidelines.
- Responsible for program tracking as well as preparing monthly marketing strategy for senior management.
- Responsible for monitoring promotions and special event results through evaluation and analysis, making changes, if necessary, to achieve established revenue goals within the property’s profitability guidelines.
- Coordinates and executes promotional requirements with various internal departments, affiliated sponsors, and other areas as required.
- Develops and submits all rules and regulations to Compliance and/or Regulators for approval as required.
- Establishes internal controls and standard operating procedures for promotional events.
- Conducts audits of all promotions to ensure they are meeting regulatory requirements.
- Works with internal and external departments on scheduling all promotions and special events.
- Supervises giveaways as required.
- Works with buyers to select and order all giveaway items
- Works with warehouse team to ensure timely delivery of giveaway items.
- Has the ability to extend complimentary services by following the approved comp matrix.
- Maintains confidentiality of sensitive information.
- Performs other related duties as assigned.
Minimum Qualifications:
- Bachelor’s degree in Marketing, Communications, or related field and a minimum of four (4) years’ experience in Promotions and/or Special Event Management, or an equivalent combination of education and experience.
- Direct Customer Service experience within a high-volume casino environment.
- Minimum three (3) years of experience as a manager/supervisor of a functional area with multiple FTEs in one or more of the following disciplines: Special Events, Promotions, or Casino Marketing.
- Must possess excellent interpersonal skills with an ability to foster a supportive and enabling team environment.
- Ability to drive improved program results in all areas of responsibility through staff, development and proven marketing programs, promotions, and special events. Applying established methods, procedures, and guidelines to maintain desired Brand standards.
- Experience with organizing and executing promotions and special events.
- Experience writing promotional rules, procedures, internal controls, and/or SOPs.
- Objective measurement of individuals, teams, and processes to improve organizational performance.
- Alignment of financial and human resources to meet strategic marketing objectives.
- Financial analysis skills to evaluate marketing programs pro forma/post forma.
- Excellent written and oral communication.
- Extensive experience with Microsoft products/programs (I.e., Word, Excel, PowerPoint).
- Travel may be required for this position.
- Must possess a valid Driver’s License.
- Must be able to work various shifts and flexible hours including nights, holidays, and weekends.
- Must be willing to work in a smoking environment.
- Must be willing to adhere to company health and safety measures.
Preferred Qualifications:
- Knowledge of player management systems (i.e., CMP, Everi Trilogy) in a gaming related area.
