We are looking for a highly organized and proactive Projects Coordinator to join our dynamic country team, dedicated to supporting consultants with the administrative and financial aspects of their projects. In this role, you will be the key point of contact between consultants, finance and administrative teams, managing tasks such as invoicing, creation of project codes, CRM data management and other essential project administration activities. Key Responsibilities:
Project Coordination and Consultant Support
Act as the primary point of contact for consultants regarding support for their projects to ensure seamless project delivery.
Support the consulting team by helping them plan and book time in the WebCas system, including setting up project codes (T/H & ECT), adjusting budgets and updating project end dates.
Support consultants in maintaining and updating their client lists to ensure accuracy and completeness.
Financial and Invoicing Support
Collaborate closely with finance and operations administration teams to ensure accurate financial tracking, reporting and invoicing. Including assisting with forecasting and WIP analysis.
Provide invoicing support for WebCAS and GPOS systems, coordinating with OM India-based teams to ensure timely and accurate billing.
CRM and Data Management
Maintain and update the MPower by creating and managing opportunities, handling renewals and ensuring accurate data entry.
Support sales and marketing efforts by identifying opportunities through analysis of sales made outside the country, MQLs and e-commerce leads.
Contract and Document Management
Facilitate efficient contract processing through DocuSign and support management of legal documents such as local register certificates and tax numbers.
Establish and maintain client document management systems, including creating standardized folder structures and organizing contracts, purchase orders and key communications.
Assist with RfP processes by creating document templates, supporting presentation development (in coordination with Himanshu’s team) and facilitating finance and legal document requests.
Support onboarding of new clients through registration in client systems and completion of required questionnaires.
Capacity Planning and Reporting
Assist with capacity planning and reporting for projects, including managing holiday planners and availability schedules to optimize resource allocation.
Continuous Improvement and Cross-Functional Collaboration
Proactively identify additional operational needs and collaborate with relevant teams to implement solutions that enhance overall efficiency.
Work effectively with cross-functional teams, including consultants, finance, operations, legal, and external partners, to ensure smooth project administration and delivery.
What you need to have:
Proven experience in operations, project coordination or administrative support roles, preferably within consulting or professional services.
Strong organizational skills with the ability to manage multiple priorities and deadlines.
Excellent communication skills, both written and verbal, with a collaborative mindset.
Proficiency in project management and CRM systems (experience with Microsoft Dynamics is a plus).
Familiarity with financial tracking, invoicing processes and budget management.
Detail-oriented with a commitment to accuracy and process improvement.
Comfortable working with cross-functional teams and supporting diverse stakeholders.
Proactive problem solver with a continuous improvement mindset.
Experience with DocuSign or similar contract management tools is desirable.
Advanced skills in Microsoft Office Suite (Excel, PowerPoint, Word).
