About the Team

We are hiring a highly organized, proactive, and execution-focused Business Operations & Project Coordinator to support the People Services & Experience team
You will be the operational engine for the department, coordinating our cadence of business reviews (MBRs/QBRs) and maintaining the "source of truth" for our broader project portfolio. Second, you will step up to take direct, hands-on project management responsibility for select critical initiatives assigned by leadership.
This is an ideal role for a sharp professional with 5 years of experience who wants to blend high-level operational visibility with the tangible experience of driving projects to completion.

About the Role

1. Direct Project Management (Critical Initiatives): You will take ownership of specific, high-priority projects assigned by leadership, managing them from kick-off to delivery.

  • Project Planning: Develop lightweight but effective project plans for assigned initiatives, defining scope, milestones, timelines, and resource requirements.

  • Execution & Driving Progress: actively manage the day-to-day execution of these projects. Run efficient project meetings, assign tasks to stakeholders, and ensure milestones and deadlines are met.

  • Change Management: Support change management efforts, including project communications and cross-functional updates

  • Risk Management: Proactively identify risks or blockers within your assigned projects and escalate them to leadership with proposed solutions before they derail the timeline.

  • Post Morten Review: Gather feedback and lead discussion on lessons learned, and implement continuous improvement.

2. People Services & Experience Team Portfolio Support: You will maintain the central database of all projects across the department and sit on the People & Purpose (HR) Portfolio Council to drive cross-functional engagement and alignment with our product and technology teams. 

  • Portfolio Hygiene: Serve as the administrator for our primary project management tool (e.g., Smartsheet), ensuring all projects across the department are set up correctly and data is kept current by their respective owners.

  • Project Status: Proactively follow up with team leads across the portfolio to drive real-time aggregate reporting.

  • Team Capacity: develop a portfolio capacity model in partnership with department leads and manage update and reporting cadence on the capacity model to inform planning.

3. Meeting Cadence & Reporting Support (MBRs/QBRs): You will support the logistical execution of our Monthly and Quarterly Business Reviews.

  • Reporting: lead monthly reporting for all teams in PS&E. 

  • Data Gathering & Deck Assembly: Assist in assembling executive presentation decks (PowerPoint/Google Slides). You will be responsible for collecting and organizing  data and updates from various teams and ensuring the final output is polished, accurate, and follows templates.

  • Meeting Logistics & Accountability: Manage scheduling and agendas for review meetings. Take detailed notes during sessions and rigorously track action items to ensure follow-through by owners between cycles.

4. General Organizational Support

  • Support ad-hoc operational tasks, team communication cadence, and maintaining internal process documentation so information is easy to find.

About You

Basic Qualifications

  • 5+ years experience in project or program management, defining, launching, and iterating on impactful projects or programs. You have moved beyond purely administrative coordination and have experience actually managing small-to-medium projects from start to finish.
  • Strong proficiency with project management fundamentals: You understand dependencies, critical path, and scope creep.

  • Expert-level organizational skills and attention to detail. You are the type of person who loves checklists and hates typos.

  • Strong proficiency with Google Workspace (Sheets, Slides, Docs) or Microsoft Office (Excel, PowerPoint, Word). You must be comfortable formatting professional decks and managing data in spreadsheets.

  • Excellent communication skills: You are confident holding all project team members accountable for deliverables in a polite but persistent manner.

  • Structured Thinking: You can break down complex problems into manageable tasks.

  • Discretion: You can handle highly confidential and sensitive information with integrity.

  • Ambiguity Tolerance: You can move projects forward even when requirements are not 100% defined or when priorities shift rapidly.

Strong understanding of Project Documentation standards and the ability to create, manage, and maintain comprehensive [insert specific document types] for complex programs and projects.
Strong Project Management skills, including [insert specific advanced areas like integrated planning, resource allocation across multiple projects, and stakeholder management] for non-technical programs and projects.
Deep understanding of Risk Mitigation Strategies and the ability to develop, implement, and oversee [insert specific comprehensive risk response plans].
Proven Schedule Development skills by [insert specific actions like creating integrated master schedules, managing critical paths, and forecasting delays] for complex programs.
Good understanding of Solution Planning processes and the ability to lead [insert specific planning stages] for addressing significant business challenges through programs.
Proven ability to lead Stakeholder Engagement by [insert specific actions like building strong relationships, influencing key stakeholders, and managing expectations] at various levels.
Solid understanding of Strategic Alignment and the ability to ensure programs directly contribute to and support [insert specific organizational goals and strategic objectives].
