Purpose

This position is part of team that supports the overall research, teaching, and community outreach missions of the Texas Aging & Longevity Consortium. Tasks are related to higher-level administrative duties that allow the consortium to implement large-scale events, communications, organize the graduate mission, and coordinate the research collaborations and objectives of over 100 scholars on campus. This position works closely with the administrative staff for the NIH-funded center on Aging & Population Sciences.

Responsibilities

  • Oversee center operations by participating in project planning, maintaining key records and procedures, and coordinating center initiatives. Monitor deadlines, align resources, streamline workflows, and keep stakeholders informed. Prepare data for reports and presentations, track progress on initiatives, and recommend operational improvements to ensure the successful advancement of project goals. Assist with current and future grant proposal preparation and grants management .

  • Lead end-to-end planning and delivery of events, including but not limited to overseeing budgets and expense processing; venue reservations, travel arrangements, catering, and A/V logistics; accessibility; branded communications; stakeholder coordination; run‑of‑show and on-site leadership; and post-event recordings, evaluation, and reporting.

  • In coordination with the College of Natural Sciences, support rebranding efforts and maintain brand presence, including updates to all digital communications and printed marketing materials, responding to stakeholder input, and managing website revisions and ongoing maintenance.
  • Facilitate meetings, coordinate resources, prepare agendas and materials, send reminders, and capture detailed meeting notes. Coordinate virtual meetings and room reservations, catering, and all other logistical details.
  • Contribute active involvement with community outreach, the Graduate Student Council, and aging research subgroups, providing administrative, logistical, and operational guidance and support for ongoing and recurring projects.
  • Lead marketing and communications; managing listservs and distribution calendars; updating and maintaining the website; creating and scheduling social media content; drafting newsletters and announcements; monitoring analytics to optimize reach and engagement; and ensuring alignment with UT branding and digital accessibility standards.
  • Collaborate with and provide support to the Center on Aging and Population Sciences (CAPS) on events and other projects. Coordinate cross-campus administration and operations, collaborating with departments, research centers, and central units to plan.
  • Provide leadership over administrative processes and ensure smooth operations by overseeing temporary staff, collaborating with departments, centers, and central units, tracking deliverables, and ensuring compliance with UT Austin policies and procedures. Anticipate risks, prepare contingencies, and support the center’s success by taking on additional responsibilities as needed.

Required Qualifications 

  • Bachelor’s degree and at least 5 years experience of project management, coordinating events, scheduling meetings.

  • Proficient use of Microsoft 365 Office Suite and TEAMS, Zoom, and Canva.

  • Experience managing social media and other communication forums in a professional setting.
  • Demonstrated ability to work proactively, efficiently, and adapt flexibly in a fast-paced environment.
  • Exceptional organizational, prioritization, and time-management skills.
  • Proven ability to work both independently and collaboratively as part of a team.
  • Strong written and verbal communication skills with a high level of attention to detail.
  • Consistently demonstrates reliability and professionalism.
  • Demonstrated ability to use judgment, discretion, and decision-making skills in dealing with confidential and sensitive issues.
  • Demonstrated ability to learn complex University organization, policies, and procedures related to the position.

 Relevant education and experience may be substituted as appropriate.

    Preferred Qualifications 

    • More than the five years of experience.

    • Project management experience, including working with systems such as Smartsheet, Asana; etc.

    • Prior experience providing direct support to leadership.
    • Experience managing events of all sizes and levels of complexity.
    • Proven ability to shift between multiple priorities, navigate fast-changing needs, and find solutions when challenges arise.
    • Knowledge with UT Austin operations, policies, and procedures.
    • Familiarity with communications and design software, such as Photoshop.

    Salary Range

    • $70,000 + depending on qualifications
