The University of Miami/UHealth Department of Ambulatory Services has an exciting opportunity for a Full Time Project Manager to work onsite in Miami.
CORE JOB SUMMARY:
The Project Manager oversees the planning, implementation, and tracking of a variety of projects to ensure the successful development, completion, and implementation of department projects and initiatives.
CORE JOB RESPONSIBILITIES
- Defines the scope of projects in conjunction with leadership.
- Discusses the objectives and measures upon which the project will be evaluated at its completion.
- Determines the resources required to complete each project.
- Establishes and documents comprehensive project plans and timelines, which identify and sequences the activities needed to successfully complete projects.
- Reviews project schedules with leadership and other staff that will be affected by the project activities.
- Monitors the progress of the projects and makes adjustments to ensure successful completion.
- Consults with the appropriate leadership on the selection of staff to assist with projects.
- Assigns project task to the identified project team for handling.
- Ensures all project personnel receive orientation that is appropriate to the project.
- Manages project staff according to the established policies and practices of the organization.
- Reviews the quality of work completed with the project team on a regular basis to ensure that work produced meets project standards.
- Documents all project-related activities, and ensures project files are maintained and secured accordingly.
- Creates a communication schedule to update stakeholders, including appropriate staff in the organization on the progress of projects.
- Prepares presentations and presents status reports for leadership
- Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.
- Ensures employees are trained on controls within the function and on University policy and procedures.
Department Specific Fucntions:
- As a member of the UHealth Ambulatory Operations team, this position will support various initiatives within Ambulatory Operations.
- Key responsibilities include assisting with training and educational programs, such as the Ambulatory Leadership Development Program, as well as contributing to team and enterprise initiatives, priorities, and goals.
- This role also involves the development and execution of strategy, policy, and procedures, as well as continuous process improvement and other projects identified by the Ambulatory Operations leadership.
- The position will take ownership and oversight of all ambulatory clinical exam room spaces at UHealth, with the objective of achieving the enterprise room utilization goals.
- This will involve active management and collaboration with department and site leadership and providers to understand, standardize, and enhance current and planned clinical exam room utilization.
- Key areas of focus will include space allocation practices, documentation compliance, and monitoring room utilization metrics by provider, site, and enterprise.
Additionally, this position will be primarily responsible for the day-to-day leadership of the UHealth Ambulatory Clinical Exam Room initiative, which includes:
- Developing policies and procedures around ambulatory clinical exam room space, in conjunction with UHealth ambulatory, departmental leadership, and other key stakeholders, identifying and implementing best practices, and the co-development and co-ownership of site-specific performance improvement plans
- Receiving and reviewing all UHealth ambulatory clinical exam room space requests, reviewing current site utilization, identifying areas of opportunity, and establishing/monitoring performance improvement plans, spearheads communication and verification of data accuracy with site leadership, co-determination of space availability in alignment with the request and alternatives if initial request is not feasible, and providing timely communication to all stakeholders
- Identify, monitor, and direct performance improvement efforts related to Ambulatory Clinical Exam Room Key Performance Indicators
- Develop and implement educational programming to enhance current room utilization and documentation efforts at all UHealth ambulatory sites, and support implementation of site-specific strategy
- Collaborate with key stakeholders on initiative data and metrics, including accuracy of data and inputs, operational and visualization tools, etc.
- Oversee continuous performance improvement and quality assurance efforts related to overall ambulatory room utilization
- Presents findings, recommendations, and achievements to leadership and various constituents as appropriate.
- Lead/support various Ambulatory Operations initiatives as identified by leadership

CORE QUALIFICATIONS
- Bachelor’s degree in relevant field required
- Minimum 3 years of relevant experience required
- Knowledge of business and management principles.
- Ability to direct, manage, implement, and evaluate department operations.
- Ability to establish department goals and objectives that support the strategic plan.
- Ability to effectively plan, delegate and/or supervise the work of others.
- Ability to lead, motivate, develop and train others.
- Ability to maintain effective interpersonal relationships.
