We are looking for a Project Management Specialist for High Voltage projects to join our team.
Based in Sorocaba, Brazil, reporting to High Voltage Contract Operation Manager, you will be responsible for activities related to the management of contracts and orders for the supply of materials and/or services (including turnkey contracts) of BU High Voltage, ensuring the delivery of the contracted scope and compliance with the other established contractual conditions, meeting the needs of customers and Prysmian with regard to all phases of the technical, administrative and commercial process, acting as the main person responsible for project results and communication with the stakeholders, always in line with policies, guidelines and pre-established strategies. You will focus on the following activities:
- Analyze contracts/orders in detail for a full understanding of the contractual scope, checking the proposed and contracted commercial conditions, identifying risks and opportunities, and, actively participating in the Critical Contract Analysis meetings, together with all areas involved in carrying out the contractual object.
- Prepare and implement action plans for contract performance and risk mitigation plans.
- Conduct meetings and contacts with customers for clarification and/or technical, commercial and administrative adjustments.
- Prepare documents for entering contracts/orders into the ERP system, obtaining the appropriate technical and commercial approvals so that the products and/or services are correctly displayed within the company and all production or acquisition actions are taken by the responsible areas.
- Elaborate physical financial schedule for materials and services and periodically evaluate the progress of contracts.
- Provide for the preparation, organization and use of spreadsheets and other control tools necessary for contract management.
- Facilitate, together with the areas involved, the sending of information and documentation necessary to comply with the contract and "follow-up", according to the established monitoring needs.
- Carry out continuous management, identifying any deviations from the original planning, for the preparation of negotiation strategies for deadlines for non-imposition of fines, preparation of claims and issuance of amendments.
- Anticipate information about possible occurrences of relevant and unscheduled events to the Commercial Management, as well as notify the customer when applicable, minimizing any impacts on the commercial relationship.
- Provide information on a monthly basis to carry out Commercial Planning and Management activities, such as billing forecasts (Volumes, Revenue and Margin) for each contract.
- Ensure the correct billing of the contract items, in their form and value, validating the application of price adjustments according to the contractual formula, when provided, as well as the management of exchange rate and metal hedges applicable to the contract.
- Monitor the inspection processes and technical release of materials and/or services by the customer. Monitor payments made by customers, checking delays and fines, in order to guarantee the contract's cash flow forecasts.
- Analyze customer complaints and material returns, identifying reasons and responsibilities, informing the areas involved, providing all process support documentation and ensuring that the necessary actions are taken to resolve the problem.
- Participate in meetings with customers to monitor and negotiate contracts, representing the company.
- Maintain and control file of documentation related to Contracts and Orders.
- Prepare procedures and Data Books necessary to fulfill the contract.
- Establish continuous monitoring of contract management processes and their KPIs, aiming at their optimization, as well as their adequacy to the Quality Assurance System.
- Analyze and request the contracting of guarantees and engineering risk insurance for Turnkey projects.
- Analysis and request for technical registration of the work, according to the country's regulations, when applicable Management of supplier payments with confirmation of the execution of the object, before releasing the payment.
- Management for issuing purchase requisitions for third-party materials and services and monitoring orders until delivery.
- Provide support and monitor the monthly maintenance of documents, including labor documents on registration platforms to meet contractual requirements.
- Periodically review costs and revenues in order to guarantee the expected result for the contract.
