The Position / Role Overview

Hottinger Brüel & Kjær (HBK) is seeking a highly capable and self‑driven Executive Assistant (EA) to provide proactive, high‑quality support to President and the Head of Program Office Leader.

The EA will provide a vital role to ensure the senior leaders are organized so they can drive the operating system of the business and deliver the financial and strategy goals. The EA will closely with the Head of Program Office Leader and will acts as a strategic partner and high-level administrator, managing the CEO's and time, priorities, and communications to maximize his productivity.

This role is ideal for someone who takes ownership, anticipates needs, and operates with professionalism, discretion, and a low‑ego mindset. The successful candidate will be trusted to think ahead, resolve issues independently where possible, and adapt seamlessly in a fast‑paced and evolving environment.

Primary Responsibilities

  • Help PMO coordinate multiple stakeholders and business functions to steer forward high impact activities and projects that support the implementation of the company’s strategy

  • Work closely with key stakeholders to get input and analysis required to produce monthly and quarterly reporting decks.

  • Manage day‑to‑day administrative and coordination tasks with a high degree of accuracy and attention to detail.

  • Lead and steer ad-hoc administrative tasks such as VIP event support, trip planning and execution, expenses, etc.

  • Prepare, edit, and maintain documents, presentations, and reports using Excel, Word, and PowerPoint to a high standard

  • Organize information, files, calendars, and materials in a structured and reliable manner

  • Own the CEO and HPO calendars to ensure they are organized and prepared for meetings and events. This includes calendarization and execution of the Management Operating System

  • Listen carefully, capture requirements and actions accurately, and translate them into effective actions

  • Adapt priorities quickly in response to changing business needs

  • Identify problems early, think through possible solutions, and resolve independently where appropriate before escalating

  • Act as a proactive partner to the executive, anticipating needs and addressing issues before they escalate.

Professional Qualifications and Key Competences

  • 2-5 years of work experience as EA working with C-suite or as Business Analyst/Project Management

  • Business Administration and/or Project Management degree

  • Results oriented – demonstrated ability to get things done at high quality and precision under tight deadlines

  • Financial and business literacy – reasonable understanding of financial statements

  • Proficient in Excel, Word and Power Point.

  • Fluent English skills – verbal and written.

  • Proactivity and Anticipation. Think two steps ahead to prevent issues, preparing documents, agendas, and scheduling without being asked.

  • High-Level Organization & Time Management. To manage complex and changing schedules, prioritizing high-leverage activities and acting as a "second brain" to filter information.

  • Perseverance. To ensure adequately and timely follow up to get things done.  

  • Discretion and Trustworthiness. The EA will act as a secure guardian of confidential company and personal information.

  • Problem-Solving and Resourcefulness. Take initiative to find solutions independently, reducing the need for direct supervision.

  • Emotional intelligence. Act as a gatekeeper and build relationships with multiple stakeholders.

  • Effective communicator to manage, prioritize, and convey information clearly and concisely.

  • Adaptability and Flexibility to they remain calm, positive, and effective in fast-paced, changing, or high-pressure environments.
