Job Title: Project Coordinator – ServiceNow
Location: Belgrade, Serbia
About the role
We are seeking a skilled Project Coordinator to join our team and play a key role in ServiceNow implementation and ongoing platform optimization. In this role, you will act as a ServiceNow Subject Matter Expert (SME), applying platform best practices, capabilities, and enhancements to help business teams achieve both operational and strategic goals.
You will work closely with internal business stakeholders, developers, and cross‑functional project teams to gather requirements, configure and implement solutions, support go‑live activities, and drive continuous improvement within ServiceNow.
The ideal candidate brings hands‑on ServiceNow experience, strong analytical and problem‑solving skills, and excellent communication abilities. Prior experience in Project Management, IT Support, or SaaS implementations—particularly within the restaurant, retail, or service industry—is a strong plus.
Position Requirements
- Assist with the administration, configuration, and maintenance of the NCR Voyix ServiceNow instance
- Serve as a core contributor on ServiceNow implementation projects, supporting:
- Requirements gathering
- Solution design
- Configuration
- Testing
- Deployment
- Post go‑live support
- Collaborate with business and technical teams to translate business needs into functional ServiceNow solutions, leveraging out‑of‑the‑box capabilities whenever possible
- Support the onboarding of new clients, teams, and projects onto ServiceNow modules and workflows
- Configure and build:
- Dashboards, reports, and performance analytics
- Forms, workflows, business rules, and notifications
- Role‑based access and user management
- Assist with incident, request, problem, and change processes aligned with ITSM best practices
- Participate in data validation, data migration support, and UAT activities during implementations
- Provide comprehensive end‑user and stakeholder support, including:
- General inquiries
- Enhancement requests
- Issue triage, troubleshooting, and resolution
- Regularly review open cases and backlog items; clearly communicate priorities to ensure timely delivery and resolution
- Lead and facilitate recurring collaboration and status meetings with internal business and development teams
- Apply change management practices to support smooth platform releases and adoption
- Create, organize, and maintain process documentation, training materials, and knowledge articles to support adoption and scalability
Essential Responsibilities
- Conduct and attend weekly requirements, design, and status meetings with business and development teams
- Support project tracking and milestone visibility for ServiceNow implementation and enhancement initiatives
- Provide metrics, KPIs, and status reporting to leadership, including adoption, performance, and backlog health
- Assist with post‑implementation support (Hypercare) and continuous improvement efforts
Qualifications
To be successful in this role, you should have:
- A minimum of 3 years of professional experience, preferably in:
- IT Support
- SaaS platform support
- Systems analysis or application support
- Hands‑on experience with or strong working knowledge of the ServiceNow platform, including:
- SPM module
- CSM module
- ITSM module
- Understanding of ServiceNow implementation fundamentals, including:
- Requirements gathering
- Configuration vs. customization best practices
- Testing and deployment support
- Solid understanding of Project Management principles, including task tracking, timelines, and stakeholder communication
- Experience working with both technical development teams and business stakeholders
- Strong problem‑solving skills and the ability to adapt in a fast‑paced implementation environment
- High attention to detail with strong research, analytical, and documentation skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook); Power Apps knowledge is a plus
- Experience with QuickBase or similar platforms is a plus
Nice to Have
- Experience supporting ServiceNow implementations or upgrades
- Exposure to ITIL concepts or ITIL certification
- Experience implementing or supporting enterprise SaaS platforms
- Familiarity with integrations, APIs, or data imports within ServiceNow
- Experience in the retail, restaurant, hospitality, or large‑scale food service industry, either as an operator or technology partner
