Job Description
Reporting to the Director, Maintenance Services, the Project Coordinator, Maintenance Services is responsible for supporting the Director, Maintenance Services in leading maintenance services across all homes owned and managed by Extendicare. The incumbent will support the successful implementation and execution of all maintenance services standards, best practices, continuous improvement opportunities, policies, programs and procedures across all Homes that are owned and managed by Extendicare, including those homes owned within our joint ventures or third-party client homes of Extendicare Assist.
This position will be based at our Head Office in Markham, Ontario. Extendicare offers a hybrid working environment.
Key responsibilities include:
Resident Satisfaction for identified maintenance services elements meets or exceeds targets.
Harmonized and standard maintenance services programs are consistently executed.
Environmental Services Managers (ESMs) & Support Services Managers (SSMs) competency is effectively assessed and improved, as necessary, as it relates directly to building maintenance services.
Compliance with all maintenance services programs (i.e. Maintenance Care & Maintenance Manual) is achieved.
Effective and ongoing collaboration with internal stakeholders including but not limited to Asset Management team, Capital Asset Managers (CAM), Regional Directors (RDO), Regional Managers (RM), and Executive Directors (ED).
Administer preventive maintenance schedules for building systems (HVAC, electrical, plumbing, life safety, elevators, generators etc.).
Maintain service contracts and vendor performance records, scheduled inspections, calibrations, and certification renewals.
Keep accurate asset registers and maintenance history (including support & updates to maintenance software platforms and dashboards).
Coordinate & support required inspections, testing, and documentation.
Ensure contractor safety orientation, permits, job hazard analyses, and site-specific safety plans are in place prior to work.
Maintain required electronic documentation and files as required and needed (inspections, certificates, licenses, compliance orders etc.
Ensure building maintenance best practices and maintenance services, for both regulatory and standard compliance, are being met and above minimum, in collaboration with homes.
Foster a culture of compliance, accountability and performance through engagement and effective communication with ESMs & SSMs while providing expertise and building collaborative relationships to drive a high level of resident satisfaction & team engagement.
Support with seasonal readiness (e.g., heating, cooling, winterization, extreme weather preparations, and emergency response coordination).
Support in ensuring adherence to relevant legislation, codes, & standards (building, fire, life safety, infection prevention & control (IPAC), occupational health & safety (OH&S), Authorities Having Jurisdiction (AHJ), Ministry etc.).
Document & track emergency incidents including but not limited to reports, progress, and invoices.
Help in training & development initiatives to help homes and ensure they are set up for success.
Provide guidance to the ESMs & SSMs to ensure the best value, identify savings and maximize efficiency.
Other related duties as assigned
What we’re looking for:
Post-secondary education in Engineering, building systems, property management or equivalent experience
One to five years’ of maintenance services experience, preferably in seniors’ living.
Ability to work effectively in a diverse, collaborative, and cross functional culture.
Self-starter with ability to manage multiple competing priorities in a fast-paced environment.
Must have reliable transportation as business travel will be required across Ontario, Manitoba, Alberta, and Markham Head office.
