Project Coordinator – Installations
Job Summary:
This role is responsible for coordinating project delivery activities and managing field personnel to ensure efficient execution of infrastructure installations, equipment commissioning, and service delivery. The position supports project planning, resource allocation, and stakeholder communication, contributing to the achievement of contractual KPIs and SLAs. The incumbent will regularly exercise decision-making authority and work under general supervision.
Essential Job Duties and Responsibilities:
Project Coordination
- Support the planning and execution of infrastructure and equipment installation projects.
- Monitor project schedules and update progress reports for internal and external stakeholders.
- Coordinate delivery of materials and equipment to site in line with project timelines.
- Review and interpret engineering drawings, layout plans, and Combined Services Drawings (CSD).
- Conduct site inspections and produce Site Visit Reports.
- Identify and escalate project risks, issues, and delays to relevant stakeholders.
- Represent the company in project meetings and site walk-throughs with contractors and clients.
- Allocate and schedule field installations personnel and subcontractors for installation and commissioning tasks.
- Monitor team performance and ensure work is completed to required standards and timeframes.
- Support onboarding and training of field staff, ensuring compliance with WHSE and quality procedures.
- Maintain accurate records of personnel deployment, leave, and availability.
Project Administration Support:
- Maintain accurate documentation of project activities, personnel schedules, and site reports.
- Prepare and distribute meeting agendas, minutes, and action items for internal and external stakeholders.
- Track and report on project budgets, resource usage, and procurement activities.
- Manage document control processes including versioning, filing, and archiving of technical and operational records.
- Support compliance reporting for WHSE, quality audits, and contractual obligations.
- Liaise with Finance and Payroll departments for timesheet approvals, leave tracking, and payroll queries.
- Assist in preparing presentations, reports, and dashboards for management review.
General Duties and Responsibilities:

Minimum Job Requirements:
Qualifications:
- Tertiary qualifications in Project Management, Engineering, or a related discipline.
- Construction White Card.
Skills Knowledge and Experience:
- Minimum 6 years’ experience in project coordination or field operations specifically.
- Experience in infrastructure or equipment installation environments.
- Strong understanding of scheduling, resource planning, and field logistics.
- Ability to read and interpret technical drawings and project documentation.
- Proficiency in MS Office and project management tools.
- Strong stakeholder engagement and communication skills.
