Your Role
Gensler's Houston office is seeking a Project Coordinator with industry-related experience to provide vital administrative support to a team of industry-leading designers and architects. As a Project Coordinator, you’ll be the backbone of our project teams, ensuring seamless execution from the first proposal through design phases to project close-out. What You Will Do
Support a project team from an administrative standpoint, including business correspondences, proposals, contracts, meeting notes, project filing, and new project setup and management
Assist with day-to-day operations including calendar maintenance, meeting/event coordination, answering phones, email screening, and travel arrangements
Perform billable aspects of a project that may require client interface, such as city submittals, accompany team to project meetings, transcribe meeting notes etc.
Early Project Phases Tasks: Including but not limited to programming data worksheets, consultant contracts, work authorizations, accurate file documentation, project spreadsheet management, correspondence, maintenance of logs (contracts, work authorization, consultant work authorizations)
Construction Documentation: QA/QC document stamping and coordination, final stamping coordination
Work with Project Team, Design Managers and Project Architects to manage the flow of construction documentation to ensure accuracy, compliance, and timely distribution
Prepare project team’s courier service packages, coordinate travel and off site meeting arrangements as needed
Your Qualifications
5+ years of project coordination and/or administrative experience
Experience within an architecture or design firm is highly preferred
Bachelor’s degree preferred
Ability to problem-solve and effectively prioritize workload in a fast-paced environment
Highly organized and strong attention to detail
High level of professionalism and strong sense of urgency
Excellent verbal and written business communication skills
Intermediate to advanced skills in MS Office Suite (Outlook, Excel, Word, PowerPoint)
Legal and contract review experience is a plus, but not required
