Summary
The Project Coordinator/Dispatcher will be responsible for employee selection, planning, organizing, and scheduling. This person will communicate with the operation and site managers to ensure clear priority and scope, a communicated understanding of the required work and resources, and a commitment to executing the specific work scope. Further requirements will include supporting the operations manager with project preparation, research, planning, subcontractor tracking, obtaining purchase orders, expense allocations, and more.
This position follows a hybrid work schedule, Monday through Friday from 7:00 am to 4:00 pm. However, please note that frequent evening and weekend work is a core requirement of the position.
Specific Duties and Responsibilities
Ensures that health and safety are the priorities by complying with and supporting all safe work practices, policies, and processes.
Receives incoming job requests from clients and GFL personnel.
Obtains necessary information to organize the job's servicing to meet or exceed expectations, both conveyed and unspoken.
Maintains all forms of communication with GFL personnel to respond to service and equipment problems, emergencies forwarding or coordinating applicable resolutions.
Determines types and quantities of material and equipment needed from appropriate resources.
Receive daily LEMs and/or time summaries from the field. Review the data and submit to billing.
Select appropriate personnel to operate equipment professionally, considering electronic logs, days off schedule and time distribution.
Coordinate with the operations manager to schedule employee vacation and vacation coverage.
Coordinate crews and complete journey management of day-to-day work scopes through best practice methods.
Communicate regularly with the GFL Operations Manager and Field Supervisors to ensure job priorities are clear, job quality is acceptable, and surface any conflicts concerning personnel/equipment resources available
Effectively organizes on short notice, frequent changes in service jobs pending or in progress.
Delegate tasks and clearly and effectively communicate expectations, outcomes, and deadlines.
Always maintain a positive attitude toward the company and its customers
Work closely with the Operations Manager and the shop staff to ensure units are scheduled for repair.
Fill out and submit purchase requisition forms as required from time to time
Ensure all staff on site have the appropriate training/tickets for their respective job assignment.
Report any policy, procedure, and safety or transportation compliance violations to the Operations Manager.
Monitor inventory of equipment & supplies.
Ensure all equipment and tooling are cleaned and stored in the appropriate Unit, Case, or Container when returned to the shop after each assignment.
Support, train and mentor field staff on the proper standard repair and maintenance of tools and equipment.
Ensure operator job reports are completed on time, collated and submitted to the appropriate operations manager.
Support field staff on site when capacity permits.
Occasional supplementary tasks may be expected as the situation demands.
On call phone, ability to respond 24/7.
Data entry and monitoring use of company programs and equipment.
Other duties as required.
Experience and Qualifications
Valid Class 5 Driver License and a fairly clean driver's abstract is required; Class 1/3 drivers license would be an asset.
Proficient in Microsoft Office and Google Products i.e. Gmail, Outlook, Google Sheets, Excel, Word, in addition to smart phone apps, elog.
Prior Field Coordination and Dispatching experience would be an asset.
Hazardous Waste Management Industry experience would be a strong asset.
Experience and/or knowledge of Super B, Tankers, Semi-vac’s, Hydro-vac’s, Combos Wet Vacs, Water trucks, Sewer Flushers, High pressure pumps, 15,000 – 40,000 psi, Chemical units would be an asset.
