Position Summary

Manages projects and high-profile events for the School of Public Health, to include guest lectures, convenings, receptions as well as well as other events as needed – requires evening/weekend hours.

Work will include logistics, budgeting, space planning, vendor management, program details and communication.

Job Description

Primary Duties & Responsibilities:

Project management

  • Provides administrative/operational oversight of assigned program/project.
  • Develops project/program goals, objectives and plans in collaboration with management.
  • Oversees implementation of project plan, monitor, track and evaluate progress.
  • Manages department budget/finances related to internal and external events and convenings.

Event Planning

  • Strategically plans events in support of the overall School vision, mission and values.
  • Collaborates and strategizes with any necessary staff, faculty and other school leadership to determine the type, scale and tone of events.
  • Assists with developing long-and short-term goals and plans for events.
  • Manages committees focused on event planning at the leadership and execution levels. This includes annual planning, best practices (planning, critical paths, customer experience surveys, etc.), support of school-wide usage of event technological solutions and recommendations to senior leadership.
  • Fiscal responsibility for the department annual event budget.

Events Management

  • Manages the event process from start to finish for high number of events annually.
  • Prepares, edits and disseminates marketing and communications event collateral – e.g., invitations, programs, HTML, signage, giveaways and registration updates.
  • Researches potential venues and negotiate/maintain relationships with vendors and venue staff.
  • Manages event logistics including set-up, tear-down, registration, audio-visual, food and beverage.
  • Orders and maintain all event and conference supplies.
  • Determines events calendar
  • Collaborates closely with and delegates tasks to others providing event support, as appropriate

Promotion of Events/Social Media

  • Collaborates with marketing and communications team to determine editorial calendar of key events at School to capture and leverage via social media.
  • Determines appropriate resources and schedule team members to capture photography, video and content for leveraging across various social media platforms.

Performs other duties as assigned.

Salary Range

$53,100.00 - $90,600.00 / Annually

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
