The Project Administrator (“Project Admin”) plays a critical role in supporting project startup and ongoing site operations by managing and coordinating all on-site onboarding activities for craft and administrative personnel. This position ensures that new team members are e0iciently processed, properly documented, and fully prepared to begin work in compliance with project, client, and company requirements. In addition to onboarding coordination, the role provides day-to-day administrative and operational support to field leadership, strengthening project controls, workforce tracking, and site administrative processes throughout the project lifecycle. Working directly with Operations, Safety, IT, and HR support functions, the Project Admin maintains structure, accuracy, and communication across the project and onboarding lifecycle to enable a smooth and professional field entry experience. 

Responsibilities

  • Operations & Project Admin Support
    • Provide administrative support to the project team by coordinating schedules, onboarding personnel, managing correspondence, and serving as the primary liaison between the field office, subcontractors, vendors, and the home o0ice
    • Coordinate with Project Management and Field Leadership on sta0ing arrivals and start dates
    • Maintain onboarding trackers, logs, and status reports
    • Assist with site roster management and workforce reporting
    • Support badging, access lists, and site entry coordination
    • Provide general administrative and coordination support to site Operations
  • Site Onboarding & Workforce Processing:
    • Coordinate and execute onboarding for craft and admin personnel assigned to the project site
    • Manage new hire intake process including required forms, badging, site access, and orientation scheduling
    • Verify completion of onboarding documentation and compliance requirements prior to site access
    • Coordinate with Safety on site orientation and training requirements
    • Coordinate with IT for system access, devices, and credential setup
    • Serve as primary point of contact for onboarding status and readiness tracking
  • Documentation & Compliance:
    • Collect, review, and track onboarding documents and site-required forms
    • Maintain organized onboarding files and audit-ready records
    • Track required certifications, licenses, and training credentials
    • Ensure compliance with project, client, and company onboarding standards
    • Manage electronic signature workflows and onboarding packets
    • Support confidential handling of personnel and compliance documents
  • Coordination & Communication
    • Serve as coordination link between Operations, Safety, HR, IT
    • Respond to onboarding inquiries from incoming personnel and supervisors
    • Schedule onboarding sessions, orientations, and processing appointments
  • Escalate missing or incomplete onboarding items to appropriate stakeholders
    • Help improve onboarding workflows and administrative processes over time

Qualifications 

  • Experience in construction administration, project administration, workforce coordination, or site support roles
  • Strong organizational skills with the ability to manage high onboarding volume and multiple priorities
  • Experience supporting field or project operations environments preferred
  • Proficiency with Microsoft O0ice Suite; familiarity with onboarding systems, badging systems, or workforce tracking tools preferred
  • Strong written and verbal communication skills
  • High attention to detail and documentation accuracy
  • Ability to coordinate across Operations, Safety, IT, and HR support functions
  • Professionalism in handling confidential personnel and compliance documents
  • Adaptable and responsive in fast-paced project site environments

Education & Certifications

  • Required
    • Relevant experience in administrative roles, project coordination, workforce processing, or construction site support roles
  • Preferred
    • Associates or Bachelor's degree
    • Experience with general contractor project administration or site support
    • Experience supporting craft workforce onboarding
