Job Summary: The primary purpose of this position is to provide administrative and clerical support for the Social Work Service Medical Foster Home (MFH) and Specialty Section. The incumbent manages office operations, coordinates program activities, and ensures compliance for Veterans and caregivers in the MFH Program. Major Duties:

  • Duties include but are not limited to: The PSA functions as the primary point of contact for MFH inquiries and coordinates communication among Veterans, families, caregivers, interdisciplinary team members, and community partners. The incumbent accepts and manages calls regarding program inquiries, patient care concerns, and service coordination; obtains pertinent information; provides accurate guidance; resolves routine issues independently; and prioritizes and routes emergent or urgent needs for timely clinical response The incumbent supports Veteran intake, admissions, transfers, discharges, and respite stays, facilitating documentation, admission packets, chart updates, and coordination with Home Based Primary Care (HBPC) and other clinical teams. The PSA coordinates and schedules general and initial appointments, meetings, conferences, and teleconferences; prepares materials (e.g., participant folders, certificates, awards); maintains daily visit calendars for MFH Coordinators; and serves as the daily check-in contact. The PSA serves as the first point of contact for MFH caregivers and prospective caregivers, answering questions about the MFH Directive and Caregiver Guide, providing detailed program overviews, and assessing prospective caregiver applications. The incumbent administratively manages opening and closing of MFH homes and all required documentation, coordinates and tracks interdisciplinary home inspections, schedules caregiver training, and maintains up-to-date caregiver records in Salesforce and other systems. The PSA maintains calendars, records appointments, prepares agendas and minutes as directed, and researches and assembles background information for incoming correspondence and referrals. The PSA monitors and maintains MFH program, caregiver, and Veteran data; ensures accuracy and timeliness of entries across MFH databases; and composes correspondence, reports, and minutes to support clinical and program functions. The incumbent prepares recurring and ad hoc reports (daily, weekly, monthly, quarterly, annually), including MFH AMIS, workload, productivity, quality metrics, and performance measures; compiles, analyzes, and presents statistical and narrative reports on staffing, workload, patient outcomes, and program goals; and resolves data discrepancies prior to transmission. The PSA serves as the main service point of contact for daily consult assignment, tracking consults and outside referrals by date received, source, destination program, and referral outcomes. Functions as the Specialty Section ADPAC, troubleshoots technical problems users have with software packages and hardware issues. In this role the incumbent provides a variety of user support assistance such as implementation and support of the services' automated management information systems including VISTA, Electronic Health Record, Share Point, etc. Use multiple office automation software with varied functions to produce a wide range of documents that often require complex formats, such as graphics or tables within text, editing and reformatting electronic drafts, and updating or revising existing databases or spreadsheets. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: managing large electronic databases; preparing correspondence, updating forms, improving and creating processes; developing and writing local policies and practices; using qualitative and quantitative analytical techniques; multi-tasking complex assignments and time sensitive deadlines; working with leadership in other services/departments; approving travel requests and expense reports; and working with human resources.
