What We Want

The Institute for a Disaster Resilient Texas (IDRT) at Texas A&M University (TAMU) is hiring a Program Specialist IV to support the Coastal Texas Research Council. IDRT has been designated by the Gulf Coast Protection District (GCPD) to establish the Council, which will provide impartial scientific and technical support for the implementation of the Texas Coastal Spine Project. The Council will be composed of leading experts from various disciplines, institutions, sectors, and countries.

The Program Specialist IV will provide advanced support to the Council Director and project participants by leading the planning, organization, coordination, implementation, and monitoring of day-to-day Council activities and logistics. This position will also manage and support IDRT administrative operations in Houston and at the Texas A&M University at Galveston campus. The Program Specialist IV will work collaboratively under the direction of the Council Director, IDRT Director of Operations, and the Project Principal Investigator, while exercising a higher level of independent judgment and initiative in managing complex projects and operations.

  • This position may require work beyond normal office hours and/or work on weekends.

Qualifications

Required Education and Experience

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.

  • Six years of related experience.

 

Required Knowledge, Skills, and Abilities

  • Demonstrated ability to manage multiple projects and priorities independently in a fast-paced environment.

  • Excellent written and verbal communication skills.

  • Proficiency with Microsoft Office Suite (Excel, PowerPoint, Word).

  • Skilled in social media management across LinkedIn, Facebook, Instagram, X, etc.

  • Experience with design and communication tools (e.g., Adobe Photoshop, Illustrator).

  • Strong interpersonal skills, collaboration, and stakeholder engagement.

  • Ability to adapt to changing priorities and work schedules, including occasional non-standard hours.

Preferred Qualifications

  • Experience developing and implementing programs that support research initiatives in a university setting.

  • Experience administering programs, managing teams, and coordinating projects.

  • Skills in conflict resolution, team building, group dynamics, and problem solving.

  • Proven track record in higher education program or research administration.

Responsibilities

  • Planning and Coordination - Leads the planning, development, coordination, implementation, and monitoring of the Council’s overall activities. Provides strategic and logistical support for the Council Director and Project Principal Investigator in planning and executing specialized events, including conferences, seminars, workshops, and meetings to advance Council goals. Manages communications and promotional materials for the Council. Contributes to the development and implementation of policies, procedures, and operational workflows. Supports proposal development, program evaluation, and reporting to internal and external stakeholders.

  • Communication and Collaboration - Serves as a central point of coordination for communications with Council participants, collaborators, and stakeholders. Schedules, attends, and documents meetings, conferences, and collaborative activities, ensuring follow-up and action items are completed. Acts as a primary contact for inquiries regarding Council programs and information, coordinating responses across email, social media, and other communication platforms. Designs and produces high-quality materials such as brochures, pamphlets, posters, and digital content. Promotes Council activities, events, outcomes, and initiatives across multiple platforms to increase visibility and engagement.

  • Administration and Support - Manages administrative operations for the Council, including travel coordination, reimbursements, stipend management, and other participant logistics. Maintains accurate and organized records, files, databases, correspondence, and Council materials. Assists in preparing annual budgets, financial reports, and other administrative documents. Coordinates purchasing, requisitions, and other operational tasks in collaboration with the operations team.

  • Special Projects - Assist the Director of Operations with special project as assigned.
