BASIC FUNCTION:

This position performs diversified operational, administrative, and communication support to assure efficient operations related to faculty-related initiatives in the Office of the Provost.

SUPERVISORY ACCOUNTABILITY:

Responsible for providing limited supervision for one or more functions. Formally plans, assigns, directs, and coordinates the work of these functions. Typically responsible for performing some non-supervisory duties in addition to supervisory responsibilities. May perform staff evaluations and make recommendations regarding pay and/or performance.

NATURE AND SCOPE:

Internal contacts include administrators, faculty, and staff University-wide. External contacts include government agencies, sponsor representatives, vendors, visitors, officials and the general public.

PRINCIPAL ACCOUNTABILITIES:

Manages faculty appointment, promotion and tenure (APT) process and other actions affecting faculty, such as faculty workload implementation, sabbatical leave, leave without pay, and disability leave:

  • Maintains database of faculty, including the name, academic rank, type of appointment, term of appointment, demographic data, academic credentials.
  • Manages annual calendar stipulating the timeline for submission and evaluation of applications for promotions and tenure to comply with the Faculty Handbook.
  • Manages the annual flow of recommendations on behalf of candidates for promotion and tenure, which includes follow-up with the schools and colleges to assure that recommendation packages are complete and that missing pieces are furnished timely in order to comply with the timeline stipulated in the Faculty Handbook.
  • Follows up with deans’ offices and appropriate University liaisons to assure that new academic ranks and adjustments to salaries are recorded. Manages the production of Institutional Base Salary letters for faculty in the Academic Affairs area
  • Working with Senior Technology Officer and Human Resources, verifies correct faculty salary to be quoted in the appropriate letter template for each faculty member.
  • Verifies correct home address for proper delivery of letters.
  • Resolves problems with delivery, academic rank, salary, stipend, etc. with the faculty member and or the respective dean’s office. Manages the executive level approvals of specific WorkDay transactions on behalf of the Office of the Provost
  • Monitors approval in-box.
  • Approves straightforward recommendations.
  • Investigates recommendations that appear to have problems and confers with Associate Provost.
  • Follows up with appropriate units in the workflow from initiation through HR approval.
  • Periodically updates Associate Provost on status of approvals. Manages Watermark + Faculty Success (formerly Digital Measures) and associated systems
  • Serve as System Administrator and lead all training activities
  • Completes transition of all data to new system Assists in managing the affairs of the Associate Provost.
  • Assists in managing Associate Provost’s calendar.
  • Assists in managing Associate Provost’s day-to-day workload.
  • Prepares drafts of confidential correspondence to be sent to senior administrators, faculty, students, and other recipients.
  • Provides staff support for ad-hoc university committees for which Associate Provost serves as chair. Supports the work of the Office of the Provost
  • Assists in preparing for monthly faculty forums and receptions. o Prepares lists of junior faculty and issues invitations o Assists in staffing events
  • Assists Associate Vice President for Academic Finance and Provost’s Chief Technology Officer in preparing data for reports regarding faculty headcounts, full-time or part-time status and salaries to external agencies (particularly faculty data) needed for reports to external agencies (e.g., AAUP, CUPA, IPEDS, Middle States). Manages confidential correspondence and other documentation associated with Faculty Grievance Commission cases and lawsuits involving faculty or staff. Perform other related duties as assigned.

MINIMUM REQUIREMENTS:

Bachelor’s degree, Master’s degree or relevant certification (preferred). Minimum 5-8 years of experience in a professional academic or business setting.
