About the team:
The PMO Team Manager is part of the Systems PMO team that functions as a shared service for the entire Systems organization providing accurate information, transparency and a clear understanding of the financial, delivery and managerial areas for our leaders in order for them to be able to make the decisions based on reliable data.
As part of the Systems PMO team, you would be responsible for supporting the Systems organization inclusive of the department’s leadership and project managers and you would cooperate closely with our business stakeholders, IT Finance, Systems Workforce and Controllers teams to ensure the execution of our Systems strategy and maintain that our project’s cost, time and schedules are in line with expectations.
In our team, you will be responsible for:
Understand supported organization and portfolio structure to be able to run division reporting, coordinate and report on initiative progress and alignment with Systems strategy and oversee all aspects of PMO for the division (workforce, financial, vendor, delivery and operations)
Provide subject matter expertise for Systems management and guide department heads and PMO teams to align with Systems strategy and current processes and standards
Work with Systems Leadership, Systems Workforce and Controllers on maintaining up to date workforce plan for the division, providing workforce analysis and reports and to help manage open requisitions with HR Acquisition team
Coordinate budgeting and forecasting process for division to ensure proper allocation of the funds and resources to products and projects for the next year
Manage departments and business line financials reporting and provide insight on visible trends and variances to the original budget
Work with Systems Leads and Project Managers, IT Finance, Cost Accounting and other projects stakeholders to verify accruals are accurately forecasted and to maintain up to date forecasted figures for the division and managed portfolio
Assist Systems Leadership and Project Managers with vendor relationship management, invoice review, approval, accruals, tracking and payment coordination and provide oversight over renewals process
Coordinate with System Leads and Project Managers on monthly project status (RAG) reporting and prepare consolidated reports on project status, production deliverables and achievements for monthly reviews with Systems Executives
Gather information from the System Leads and Project Managers to create other ad hoc reporting for high level managers and to provide status updates on cross-divisional initiatives and programs.
Proactively work on process improvement activities to simplify and standardize Systems PMO operations and align with other CAO and firm functions
Involvement with our Krakow Leadership team to align with Systems strategy and grow Krakow Systems organization
Evangelist in helping drive Systems Learning Program and training opportunities\
Oversee monthly oversight meetings (MOC) to help align department leaders and managers with latest process guidelines and strategy
What we’re looking for:
Fluent English and good communication skills with demonstrated ability to coordinate across various teams
Demonstrated experience managing conflict and confronting barriers to success
Experience in a matrix environment and interacting with peers, subordinates and senior leaders
Adept at dealing with ambiguity and creatively solve problems to achieve results
Ability to build and manage effective teams, leveraging shared strengths
Can motivate others to achieve organizational vision and purpose
Financial management and reporting experience
Strong analytical and organizational skills
Knowledge of project management and software development concepts and tools
Advanced knowledge of MS Excel and PowerPoint and SharePoint
Technical acumen is a plus
Experience working in a global team
Bachelors’ degree in finance, computer science or other engineering or management discipline
