Here’s a Glimpse of the Job

The Program Coordinator I, under general supervision, provides administrative support to the Department Head, Director of Graduate Programs, Senior Administrative Coordinator, faculty, and graduate students. This position coordinates day‑to‑day office activities, Graduate Program operations, and a variety of events and initiatives, and also supports the planning, development, and implementation of assigned programs.

Opportunities to Contribute

  • Provides administrative support to the Graduate Director(s), Department Head, and students by managing graduate processes and coordinating data collection and record keeping.

  • Maintains confidential student files and databases and serves as the department’s liaison with the School for Graduate and Professional Studies.

  • Enters admission decisions and assists graduate students with registration, schedule changes, Q‑drops, add/drops, and resolve enrollment holds.

  • Compiles graduate tuition and fee eligibility lists and processes scholarships and tuition/fee postings using RPAAWRD and TWAPMTS.

  • Plans and coordinates Graduate Program events, managing logistics such as travel, facilities, equipment, and catering.

  • Provides on‑site and administrative support for departmental events, colloquia, meetings, seminars, and other special functions.

  • Supports departmental administrative functions by managing daily operational tasks, helping implement and communicate administrative policies and procedures, and attending meetings on behalf of supervisors.

  • Uses independent judgment to improve services, processes, and programs and collaborates with Graduate Director(s) to provide information and recommendations.

  • Submits expense reports and uploads required receipts and documentation in Emburse.

Qualifications

  • Bachelor's degree or equivalent combination of experience.

  • Additional 2 years of administrative experience.

A well-qualified candidate for this position will also possess:

  • Experience working with OGAP processes

  • Strong communications, planning, and interpersonal skills.

  • Knowledge of word processing, spreadsheet, database, and presentation applications.

  • Ability to cultivate and maintain professional working relationships.

  • Ability to work effectively with others.

  • Ability to multi-task and work cooperatively with others.

  • Experience working with faculty and general academic operations.

Salary: Compensation will be commensurate based on the selected candidate's education and experience.
