Program Coordinator, Alumni Engagement

The Program Coordinator, under the general direction of the Manager, Affinity Programs, is responsible for the day-to-day oversight of the Sun Devils loyalty program which includes quality control, customer care, fulfillment, marketing, and event management and problem solving of non-routine situations. The coordinator serves as part of the Alumni Engagement team at the ASU Outreach Hub and supports related initiatives to foster participation from alumni, donors, and community members.

What you’ll do

  • Coordinates program activities, ensuring goals and objectives of the program are being met including net growth in users

  • Acts as liaison with the community, students, faculty, and staff in facilitating Sun Devil Rewards and other university programs

  • Supports select alumni engagement initiatives with university partners including academic units and key stakeholders

  • Collaborates on strategies with other team members to execute programs and campaigns that increase participation from alumni

  • Provides guidance on Sun Devil Rewards program in-app content, rewards catalog and social media postings

  • Collaborates with University Technology Office as it relates to the program and customer support as needed, providing ongoing oversight and consultation   

  • Assists in managing inventory in partnership with ASU Mail Services, process new inventory in accordance with specifications

  • Provides case management using ticketing software and social media and engages with social media and app store reviews contributing to knowledge base of frequently asked questions

  • Provides creative guidance on program-related digital and print assets, reviews and approves assets in project management tracking software

  • Performs quality assurance testing and escalates production issues

  • Plans and executes events for the purposes of program awareness and retention

  • Continues to develop and cultivate working relationships with the University and community agencies to facilitate participation in Sun Devil Rewards 

  • Documents processes and updates documentation as needed

  • Acts as the designated point of leadership in the Affinity Programs Manager’s absence, maintaining program oversight and supporting day‑to‑day operations

What you'll need

  • Knowledge of budgeting and accounting principles

  • Knowledge of principles and practices pertaining to the assigned program

  • Ability to engage, evaluate and manage staff

  • Collaborative style, combined with the ability and desire to work in a team-based environment

  • Strong and collegial interpersonal skills and an ability to communicate effectively in person, in writing, by phone

  • Highly organized and able to handle multiple projects simultaneously

  • Attention to detail, accuracy, and thoroughness in completing assigned duties

  • Ability to work both independently and as part of a team

  • Problem solver who can take initiative and set priorities while being flexible 

  • Ability to be flexible and adaptable - may be asked to work some nights and weekends to accommodate events

  • Ability to maintain a high degree of confidentiality and responsibility regarding information related to Enterprise Partners, its subsidiaries and University business and confidential prospect information

Relevant qualifications

  • Bachelor's degree in a field appropriate to the area of assignment

  • 2-3 years of related experience

  • OR any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved

  • Experience with content management systems and project tracking software

  • Experience with Salesforce Service Cloud

Preferred education and experience

  • Bachelor’s degree in Marketing, Business, Communications, and/or Technology
