Job Description:
Reporting to the Manager Student Affairs, the Program Administrator assists with the administration of multiple clinical and non-clinical courses and initiatives within the organization. This individual will work closely with course directors and other staff to maintain that the program goals and objectives are met. The Program Administrator will liaise closely with the Manager Student Affairs and Associate Dean to ensure smooth running of the program overall, while maintaining general program guidelines. The Program Administrator will ensure that the new curriculum complies with dental accreditation standards and McGill University regulations. The Program Administrator coordinates with instructors and serves as the primary point of contact for the key stakeholders including academic and non-academic leadership team.
Duties and Responsibilities:
• Provide support to teaching and administration according to the Faculty’s goals and University’s culture.
• Ensure implementation of supporting policies for the Faculty.
• Function as a liaison with other Faculties and with external organizations.
• In conjunction with the Manager Student Affairs, act as administrative facilitator for all curriculum and teaching development projects.
• Act as a communication channel between the relevant Course Director, instructors teaching the course and the team, informing them on course matters, especially dates to create efficient systems to provide support.
• Contribute to the moderation process for final course results; coordinate exams and ensure preparation and availability for deadlines.
• Actively participate in the planning and development processes within the team ensuring a well-balanced program.
• Take on supporting administrative duties with respect to the DMD Program, as required.
• Where appropriate, take on project development work to support the achievement of the team’s needs.
• Work directly with the Manager Student Affairs and the Associate Dean to ensure policy compliance of the academic program with regards to University regulations and external governing bodies (e.g., CDAC, NDEB and ODQ).
• Administer received information and procedures, as well as coordinate teaching schedule with the Faculty of Medicine.
• Schedule and coordinate course offerings, including scheduling instructors, classrooms, and materials including syllabi, assignments, and exams.
Other Qualifying Skills And/ Or Abilities:
Must be tech savvy, proficient in Excel with strong MS Office skills.
Excellent written and oral communication skills in both English and French are required
Familiarity with One45 software, Banner, myCourses are assets
Proven analytical, planning, organizational, problem-solving, and decision-making skills. Ability to track, analyze, and synthesize a high volume of information
