Job Description

Summary

The Production Coordinator is responsible for providing production support including materials printing, event logistics, shipping & receiving for all materials including collateral materials, proposals, giveaways, benefit fair materials, presentations for finalist meetings and client/account meetings, and others as needed. Works cross functionally with Sales, Proposals, & Account Mgmt. teams as directed.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Manages production calendar in collaboration with proposals, marketing and account management to help ensure all deadlines are managed and met. Cross-trains team members to help ensure coverage/deadlines are met.
  • Produces printed materials and electronic media when requested. Includes proposals, benefit fair materials, presentations supporting account management and sales, collateral materials, and others as needed.
  • Conducts quality assurance checks to ensure materials are properly printed, packaged, and shipped in a timely manner.
  • Prepares shipments according to instructions provided by RFP or staff including shipping labels, inserts and package deliverables for proposals, marketing initiatives or account management initiatives. Tracks shipments to ensure arrival and return. Provide tracking information to relevant parties.
  • Coordinates and tracks logistics for all benefit fairs, including booth materials, collateral materials, giveaways, and manage shipping/receiving of materials, ensuring appropriate materials are sent and received back and stored appropriately.
  • Tracks and manages inventory of giveaway items. Works with marketing staff to order new items when needed.
  • Tracks and reports on production activities, providing regular status reporting.
  • Assists in defining processes for print/production projects to help streamline production and to communicate roles & responsibilities to help ensure deadlines are met.
  • Maintains printer including ink replacements, service calls, maintenance schedules, etc.
  • Manages inventory of all production materials, including paper, binding materials, etc.
  • Provides clerical support to the Marketing department as needed as well as uploading content into content management systems, such as MedImpact website, digital asset management platform, conference app and website, etc.

Education and/or Experience

GED/HS Diploma and 2+ years’ experience or equivalent combination of education and experience

Computer Skills

Advanced proficiency in MS Office / Word, Excel, Outlook and PowerPoint.

  • Superb attention to detail. Understanding of proposal/project/management responsibility and follow through with objectives to meet all crucial deadlines. Ability to handle multiple deadlines and work well under extreme pressure. Understanding of printer/machinery and ability to problem-solve is required.

Work Location

This position must work on-site at the San Diego Headquarters for purposes of providing adequate support to internal clients; being available for face-to-face interactions and coordination of work with other employees, colleagues, clients, or vendors; as well as for facilitation of quick and effective decisions through collaboration with stakeholders.  Remote work is not an option for these purposes.

Working Hours

This is a full-time non-exempt position requiring one to be able to work overtime from time to time in order to get the job done.  Therefore, one must have the ability to work nights, weekends or on holidays as required.  This may be changed at any time to meet the needs of the business.  The typical working hours for this position are Monday through Friday from 8:00am to 5:00pm.

Travel

This position requires no travel however attendance maybe required at various local conferences and meetings.
