What We Do:

The Procurement Coordinator is responsible for facilitating administrative and purchasing activities for the procurement of goods and services for the company, including supplier profile set-up, management of the Procurement email inbox, liaising with different inputs to the onboarding, generating reports and distributing to the business units, administration of the procurement and contract management system as well as general procurement support, such as sourcing support.

How You’ll Make an Impact:

Facilitate the Onboarding Process

  • The Procurement Coordinator is a key initial contact for inquiries and will triage the inquiries to the appropriate individuals for follow-up
  • Works directly with all levels of the organization and affiliates to complete supplier set up
  • Responds to inquiries and assists with the onboarding, purchasing and payment of suppliers for the purpose of providing information and direction
  • Liaises with external parties and vendors where required

Coordinate the Supplier Risk Assessment Workflow

  • Assist the business units in completing the supplier risk assessment forms and tasks in the risk assessment tool
  • Keep data in the risk assessment tool up to date (e.g., updating employees responsible for supplier management and offboarding suppliers, as necessary)

Maintain the Procurement Policies and Procedures - Procurement Documentation

  • Review the Procurement Policies and Procedures and update where required
  • Research, develop, and implement job aids
  • Maintain onboarding information, electronic files, and records for the purpose of ensuring availability of documentation and compliance with policies and procedures

Contracts recordkeeping, administration, and PO Approval

  • Administer the contracts execution process, check all backup documentation, request a fully executed contract and save the contract in Luminance
  • Manage PO approval process
  • Assist with reporting on contract turnaround times

Data Confirmation and Reconciliation

  • Work on projects to ensure data in risk assessment tools, contracts management database and core finance platform is accurate and up to date

What You’ll Need:

  • Excellent written and oral communication skills, strong presentation skills
  • Excellent project management and organizational skills with the ability to manage and complete multiple and competing priorities
  • Excellent client focus and collaboration/teamwork skills
  • Ability to use Microsoft Word, Excel and Power point at an intermediate level to prepare reports, presentations and spreadsheets
  • Self-motivated, with a proven ability to learn quickly and work effectively in an evolving and fast-paced work environment

What We’re Looking For:

  • 3+ years of experience of procurement or administration experience required
  • Accounting, contract coordination/administration, or business administration experience is preferred
  • Bachelor’s degree in business, or equivalent work experience.
