Job Summary 

Based in Monaco, the Procurement Agent (F&B and Hotel) manages the end-to-end supply chain for The Ritz-Carlton Yacht Collection. This role oversees the full procurement lifecycle—from initial vessel requests and RFQs to PO issuance and final invoicing—ensuring the seamless fulfillment of F&B and hotel supplies according to loading schedules.

By partnering cross-functionally with Finance, IT, and Operations, you will maintain a supply chain that complies with international health and shipping regulations while upholding the brand’s uncompromising luxury standards for guest excellence.

Essential Functions

  • Monitors and processes vessel requests, RFQ’s, purchase orders, warehouse transfers and invoices for one or more vessels as per the vessel loading schedules.
  • Deals with suppliers, consolidators, freight forwarders & agents and vessels to ensure correct deliveries.
  • Sources alternatives where needed and maintains accurate documentation for all processed orders.
  • Communicates issues with deliveries before and after loading with the concerned parties, and ensures the purchasing system is updated accordingly.
  • Assists accounting with resolving invoice & purchase order discrepancies.
  • Processes special guest requests, liaising with vessel, Special Services and hotel operations to ensure requested items are made available to guest whenever possible.
  • Manages supplier relationships including identifying and sourcing potential suppliers, and visiting industry trade shows.
  • Ensures frequent communication with the shipboard Hotel Operations team to ensure that they are sufficiently supplied at all times.
  • Partners with Hotel Operations leadership to identify and source all products required for the on-board Hotel Operations and presents “best in class” products and suppliers.
  • Assists in coordination with Hotel Store Manager to ensure that receiving deliveries are closed and updated in MXP and ERP Systems.
  • Ensures an effective bidding process is established for all items purchased, evaluating bids and making recommendations based on specification and commercial factors.
  • Ensures evaluation of Total Cost of Ownership supported by Logistic Team.
  • Establishes product specifications for new products and manages the product specifications and item set-up in MXP.
  • Ensures that goods are shipped in compliance with Public Health regulations and according to international shipping regulations.

Competency

Education:       

  • Bachelor’s Degree in Business Administration, Supply Chain Management or related field, or 2-4 years equivalent work experience

           
Skills & Experience:    

  • Two (2) to four (4) years of experience in purchasing, logistics and coordination activities, preferably in the cruise line industry and/or hotel product procurement, or maritime industry
  • Must be flexible and highly adaptable to a fast paced work environment with changing priorities
  • Highly organized, self-motivated, and capable of working with minimal direction
  • Ability to set priorities, multi-task and manage time effectively
  • Proficient with MS Office and spreadsheets (Excel, Smartsheet)
  • Knowledge of specific purchasing systems is a plus
  • Effective oral and written communication skills; must be fluent in English (French and Italian language a plus)
  • Analytical and problem solving skills
  • Ability to maintain a courteous, positive, service-oriented attitude towards both internal and external clients
