About the Role
We’re hiring a Process Specialist within our Project Management Office to bring clarity, structure, and consistency to how work gets done across the organization. This is a hands on, governance focused role built for someone who enjoys organizing complexity, creating standards, and building systems that scale. You’ll take real world operational workflows and turn them into clear, controlled, and repeatable processes supported by SOPs, job aids, and structured approval of workflows.
You’ll own the full lifecycle of process documentation from discovery and drafting through review, approval, publishing, and ongoing updates. You’ll also help maintain a well-organized process library, so teams can easily access current, approved guidance when they need it.
This role is ideal for someone who likes structure, clarity, and accountability and who takes pride in turning informal know how into disciplined execution.
What You’ll Be Doing
- You’ll document and maintain end-to-end business processes including current and future state workflows, roles, inputs and outputs, decision points, and exceptions. You’ll transform working sessions and messy notes into clear, usable documentation that teams can follow with confidence.
- You’ll manage the structured approval workflow from draft through review, revision, approval, and publication, ensuring version control and a clear audit trail. You’ll make sure processes do not sit in limbo, and that ownership and decisions are clear.
- You’ll produce and maintain supporting artifacts such as SOPs, work instructions, checklists, templates, and quick reference guides that reinforce consistent execution.
- You’ll facilitate SME working sessions to clarify handoffs, close gaps, resolve inconsistencies, and ensure alignment before publication. You’ll partner with PMO, IT, and business owners to ensure processes align with system capabilities, access controls, and governance standards.
- You’ll maintain the process library or knowledge base including tagging, categorization, ownership tracking, review cadence, and archival of outdated content. You’ll monitor feedback, issues, and rework trends and proactively update documentation as processes evolve.
Why We’re Excited About You
- You have 2 to 5 years of experience in process documentation, process improvement, operations enablement, quality systems, PMO governance, or a related field.
- You’re comfortable turning complex, real-world workflows into structured, easy to follow documentation. You know how to ask the right questions and bring clarity to ambiguity.
- You have experience routing documents through structured review and approval cycles and maintaining controlled versions with strong attention to detail.
- You’re confident in facilitating conversations with subject matter experts and translating technical or operational inputs into simple, executable steps.
- You’re organized, disciplined, and comfortable managing multiple stakeholders and priorities at once. Experience with process mapping methods, continuous improvement disciplines, or documentation platforms such as SharePoint, Confluence, Jira, or similar tools is a plus.
- Most importantly, you take pride in building processes that are actually used, consistently followed, and trusted by the business.
