About the Role

You will be working with a team of Private Client Portfolio Managers (PMs) providing exceptional client service to their high-net-worth clients, as well as to the PMs themselves.  You will be part of the Cypress’ administrative team and may also have duties that relate to all Cypress’ Private Clients.  This is a replacement for a vacancy.

Key Responsibilities

  • Review daily cash balances for overdrafts and anticipate debit positions because of scheduled payments, fees, etc. – advise PMs.

  • Schedule client meetings

  • Review daily transactions for private clients’ accounts and post cash transactions to portfolio management system.

  • Facilitate funds transfers in and out for clients as requested (e.g. cheque deposits, EFTs, wire transfers, bank drafts, in kind security donations etc.).

  • Arrange and provide for all administrative and reporting requests from clients and their associates (accountants, lawyers, financial planners, personal assistants, etc.)

  • Resolve issues regarding private client accounts such as discrepancies, ACB etc.

  • Work closely with various Custodian departments to resolve errors or issues

  • Assist with the preparation of the quarterly reports to private clients (letters and statements) and mailing, and yearly tax reporting packages.

  • Explain specific tax reporting (T5s, T3s) issued to client for a particular account.

  • Explain contribution and withdrawal rules to clients regarding registered accounts

  • Prepare annual accounting packages for clients and/or their accountants

  • Issue monthly and/or quarterly cheques to CRA

  • Reconcile cash balances between Custodian record and portfolio management system (Harmony)

  • Assist in obtaining necessary new account, transfer, client KYC/IPS update info, tax forms (CRA, IRS), etc.

  • Maintain and file documents to client folders

  • Seek to assist other PAs, Operations staff, or New Accounts Dept.

What you Bring

  • Must have experience in investment industry (either brokerage or investment management) preferably Administrative Assistant experience or related experience.  However, would consider someone without experience, but with demonstrated ability

  • Professionalism

  • Highly Organized

  • Attention to detail and accuracy

  • Ability to communicate and work well within teams

  • Function well in dynamic, stimulating, or stressful environments

  • Strong Computer skills (MS Word, Excel, Outlook)

  • Ability to prioritize, multi-task, set and meet deadlines

  • Ability to learn/teachable, listening skills, follow processes

Compensation

The anticipated compensation range for this role is $65,000 - $80,000 annually, which represents base salary and, where applicable, variable compensation components (e.g., annual bonus, commissions, etc.). Actual compensation will be determined based on many factors such as role location, candidate experience / qualifications, market conditions, and internal equity.
