About This Opportunity 

We’re looking for an experienced and energetic Principal Administration Coordinator to drive high-impact administrative and executive support within QAAFI. In this role, you’ll shape how the Directorate operates, streamline processes, and ensure the team runs like clockwork—all while contributing to a world-class research environment. Key responsibilities will include:

  • Lead and manage the Administration team, including performance, workloads, and staff development.

  • Design, implement, and maintain efficient administrative and financial systems to support Directorate operations.

  • Coordinate events, meetings, committees, and engagement activities, including scheduling, documentation, and minute-taking.

  • Support senior leadership with diaries, travel arrangements, correspondence, and confidential materials.

  • Undertake research, data analysis, and special projects to inform decisions and improve processes.

  • Build and maintain relationships with internal and external stakeholders while ensuring compliance with University policies.

About You

  • A degree with at least four (4) years subsequent relevant experience; or extensive experience and management expertise in administrative fields and executive support; or an equivalent combination of relevant experience and/or education/training.

  • Excellent interpersonal skills (including written and verbal communication), with experience in liaising with internal and external stakeholders, including the ability to provide advice and negotiate to achieve desired outcomes.

  • Demonstrated ability to work both independently and to provide leadership and supervision of a small group of administrative staff.

  • Demonstrated ability to understand and apply a range of rules, policies and processes with regard to the regulatory and legislative context and within University policy expectations.

  • Highly effective organisational, time management and problem solving skills, with the ability to prioritise workloads.

  • Working knowledge of University administrative systems, policies and procedures or the capacity to rapidly acquire this knowledge.

  • A high level of proficiency in the Microsoft Office suite (Word, Excel, PowerPoint and Outlook).

The successful candidate may be required to complete a number of pre-employment checks, including: right to work in Australia.
