Assures the efficient day-to-day operational function of assigned areas to ensure that quality care and service are provided. Plans, organizes, directs and monitors daily clinic performance. The Manager ensures that staff adheres to system policies and procedures including ambulatory care standards, regulatory agencies, and nursing care standards (in collaboration with the Chief Nursing Officer and Ambulatory Physician Leader when appropriate to achieve targets). The Manager participates in the development of and manages the budget to target, oversees day-to-day operations of the resources (human and material), space and equipment, patient registration, scheduling, office operations, charge capture, physician relations, and the general business functions of the areas.I. Major Responsibilities:
1. Assists in the development and maintenance of a patient-centered, seamless health care delivery system that provides high-quality health care in settings that are attentive to patient convenience and satisfaction.
2. Creates and sustains a collaborative, patient-focused environment supporting excellence in clinical and service practices.
3. Coordinates clinical practice and deployment of resources at the clinic level to ensure ongoing implementation of processes and adherence to standards.
4. Reviews and develops action plans based on ambulatory metrics.
5. Assures the efficient daily operations of assigned units/clinics, including appropriate staffing, appropriate use of supplies, workflow, and productivity to meet patient needs and to manage to budget.
6. Serves as a liaison between the group administration, group practice physicians, and a variety of hospital departments and functions, such as Information Systems, Finance, Purchasing, Human Resources, Engineering, Billing Office, etc., to foster efficient operations and administration.
7. Coordinates and ensures that all ancillary and support services including patient registration, scheduling and out processing meet patient needs and service standards.
8. Participates in the overall strategic planning of the group. Assists practices and physicians with the achievement of managed care, operating, and financial benchmarks. Develops and implements systems to maximize revenues and reduce costs where appropriate.
9. Reports on a variety of administrative or operational problems. Recommends corrective action, and foster changes as directed.
10. Chooses goals, projects, and sets priorities based on alignment with system goals.
11. Reviews departmental performance, effect changes as needed to improve service and productivity.
12. Identifies systems changes to solve complex problems. Researches and obtains needed data or feedback regarding issues/problems.
13. Assists staff with the development of a cohesive, service-oriented team, and serves as a role model, mentor, coach/facilitator.
14. Monitors competence of staff and ensures education to complete required competencies. Monitors continuing education participation.
15. Responsible for the coordination and implementation of training needs of staff and others for assigned software components. Coordinate specific application training needs for staff such as patient registration, scheduling of patients, charge entry, and medical record processes with available resources.
16. Responsible for a variety of practice management related special projects.
17. Ensures a positive work environment that is safe for patients, visitors, and staff.
Standard Management Level Responsibilities:
1. Directs and supervises assigned personnel including performance evaluations, scheduling, orientation, and training. Makes recommendations on employee hires, transfers, promotions, salary changes, discipline, terminations, and similar actions. Resolves grievances and other personnel problems within position responsibilities.
2. Develops and recommends the budgets for the areas managed. Manages activities to assure financial goals are met.
3. Coordinates the assignment of tasks and helps resolve technical and operational problems. Evaluates the impact of solutions to ensure goals are achieved.
4. Provides effective direction, guidance, and leadership over the staff for effective teamwork and motivation, and fosters the effective integration of efforts with system-wide initiatives.
5. Encourages and supports diverse views and approaches, demonstrates Standards of Respect, and contributes to creating and maintaining an environment of professionalism, respect, tolerance, civility and acceptance toward all employees, patients and visitors.
6. Integrates diversity into departmental objectives, such as hiring, promotions, training, vendor selections, etc.
7. Participates in performance improvement initiatives and demonstrates the use of quality improvement in daily operations.
8. Ensures compliance with regulatory agencies such as Joint Commission, DPH, etc. Develops and maintains procedures necessary to meet regulatory requirements.
9. Ensures that department complies with hospital established policies, quality assurance programs, safety, and infection control policies and procedures.
10. Ensures adequate equipment and supplies for department.
11. Develops and maintains established departmental policies, procedures, and objectives.
12. Ensures compliance to all health and safety regulations and requirements.
13. Maintains, regular, reliable, and predictable attendance.
14. Performs similar or related duties as required or directed.

1. Prior leadership/managerial experience with proven team building. Must have proven project management and presentation skills.
2. Exceptional analytical skills are necessary in order to perform various data analysis techniques, review statistical data for the purpose of departmental planning and control, in the preparation and maintenance of budgets and in problem solving.
3. Knowledge of medical practices procedures and a variety of computerized software applications such as EPIC, Word and Excel.
4. Excellent organizational, written and verbal communication skills.
Preferred:
1. Three to five years prior supervisory experience
Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.
Department-specific competencies, including age-specific competencies and their measurements, will be developed and maintained in the individual departments. The competencies will be maintained and attached to the departmental job description. Responsible managers will review competencies with position incumbents.
