The Practice Assistant will support the firm’s Public Finance practice in our Houston office. This position provides administrative support to practice coordinators, paralegals, and lawyers. The role is responsible for assisting with various municipal utility district (MUD) matters by coordinating meetings, organizing and filing documents, managing records, and maintaining accurate tracking for bond‑related activities. The ideal candidate is highly organized, detail‑oriented, and comfortable supporting multiple priorities.

This position will require presence in the Houston office at least three days per week pursuant to the firm’s hybrid work policy. Overtime and flexibility in schedule is required from time to time.

Responsibilities include, but are not limited to:

  • Coordinate and schedule meetings and conference calls for the team
  • Reserve conference rooms and coordinate logistics through the event management system
  • Maintain accurate electronic and hard copy filing systems, including record retention and offsite storage management
  • Update and maintain master spreadsheets to track annual bond closings and related activity
  • Send correspondence to clients, district consultants, and internal stakeholders
  • Prepare shells of Letters of Representation for consultants associated with bond transactions
  • Arrange courier services for document pick up and delivery, as needed
  • Reconcile expense reimbursement and submit invoices
  • Coordinate travel arrangements for lawyers
  • Provide day to day administrative support to the team to ensure efficient operations
  • Support document management related to special projects and ongoing initiatives
  • Assist the firm and peers with overflow work and provide backup support, as requested

Qualifications:

  • Bachelor’s degree preferred
  • Minimum one year of experience in a professional services environment preferred
  • Law firm experience a plus
  • Proficient in Microsoft Office
  • Ability to work independently and prioritize workload
  • Must be reliable, resourceful and organized for this fast-paced position
  • Attention to detail and responsibility for your workload is critical
  • Strong analytical skills
  • Excellent verbal and written communication skills
  • Self-starter with excellent relationship building and interpersonal skills
