Responsibilities:
As part of Academic Affairs and reporting to the Clerkship Supervisor, this position coordinates and supports the senior year curriculum including the management of student schedules, confirming senior elective courses, coordinating away rotations for MUSM and visiting medical students, and ensuring students meet graduation requirements. This position will maintain the academic records and assist in maintaining and annually updating the 4th-year curriculum manuals. The position will work closely with the 4th Year Director to assist students with the successful completion of the 4th-year curriculum. The Senior Year Coordinator will be expected to provide support to medical students and coordinate with other clinical coordinators on and across campuses.
Duties include:
- Managing all 4th-year student schedules on the Macon Campus, including but not limited to:
Working with the Instructional Design Team to create and implement the 4th-year lottery for student course selections. Providing instruction, guidance, and support to rising 4th-year students on how to navigate the lottery process.
Creating and verifying 4th-year schedules from lottery results and submitting student rotations to preceptors for approval.
Registering students for courses in SRM system. Tracking student registration to ensure accuracy.
Ensuring that 4th-year schedules meet curriculum requirements and follow program policies.
Processing schedule change requests by students and rotation updates by preceptors. Coordinating Away, Student-Generated, and Clinical Affiliate elective rotation requests.
Managing visiting medical student rotations including application evaluation, preceptor approval, credentialing, orientation, and student support during rotation.
- Monitoring and tracking 4th-year student progress, including but not limited to:
Checking and recording attendance verification forms for each rotation.
Sending upcoming rotation reminders to students and preceptors.
Distributing evaluation forms through SRM system, monitoring evaluation form completion, follow-up on outstanding forms to ensure completion, and providing regular evaluation status reports to supervisor.
Monitoring 4th-year elective grade sheets.
Completing graduation audits for conferral.
Administering course exams when required.
- Coordination of curriculum activities and communication including but not limited to:
Planning, organizing, and facilitating 4th Year Orientation.
Assist in planning and supporting Wellness and Capstone courses.
Confirming elective rotation availability with preceptors. Updating preceptor contact information. Working with preceptors to manage rotation parameters.
Managing the 4th year catalog including updates on available courses, faculty changes, course requirements, and rotation guideline updates.
Working with Academic Affairs deans and directors to expand course offerings.
- Administering and proctoring exams. Assisting as needed with Academic Affairs activities and events.
- Assuring consistency among campuses in meeting the curriculum, coordinating rotations across campuses, and facilitating problem-solving as needed. Contribute to the 4th Year Committee.
Qualifications:
Two years of college coursework and two years of administrative support experience are required. In lieu of coursework, relevant experience will be considered.
Knowledge/Skills/Abilities:
Ability to communicate (verbal and written) with many internal and external stakeholders. Must be able to effectively communicate with students, faculty, staff, and clinical partners in a professional manner.
Ability to prioritize and handle multiple tasks and responsibilities. Strong organizational skills are required.
Basic knowledge of computer software including Microsoft Excel, Word, and Outlook.
Ability to appropriately maintain confidential information.
Ability to develop and maintain positive, professional relationships with internal and external partners.
