The PMO Portfolio Support Officer plays a key role in enabling effective delivery across Elekta’s project portfolio. This role supports portfolio governance, ensuring accurate reporting, maintaining PMO standards, and driving highquality execution through strong coordination and datadriven insights.  

Acting as a central point of alignment between Delivery Leads, PMO leadership, and wider business stakeholders, the officer helps monitor performance, manage risks and dependencies, support financial and resource planning, and maintain essential PMO tools and dashboards.  

 

This is a pivotal role for someone who enjoys bringing structure, clarity, and operational excellence to a dynamic portfolio environment. 

 

 

What you’ll do at Elekta: 

Your responsibilities will include but are not limited to: 

Portfolio Governance & Reporting 

  • Maintain and update the central portfolio roadmap, ensuring all project data is accurate and up to date. 
  • Consolidate project status reports to provide clear portfolio-level reporting, dashboards, and insights. 
  • Monitor project performance against KPIs, milestones, budgets, and risks. 
  • Support preparation of governance packs for steering groups, portfolio boards, and senior leadership. 

 

Risk, Issue & Dependency Management 

 

  • Track and support consistent recording of risks, issues , assumptions, and dependencies across the portfolio. 
  • Facilitate escalation processes and support the definition and tracking of mitigation plans. 
  • Maintain RAID (Risks, Assumptions, Issues, and Dependencies) logs and support consistent use of PMO tools and frameworks.

  • PMO Standards & Assurance 
  • Monitor that project teams follow PMO standards, templates, and delivery methodologies (e.g., Waterfall, Agile, hybrid). 
  • Conduct project assurance checks to support quality and compliance. 
  • Support the onboarding of new Delivery Leads by introducing PMO processes, tools, and delivery expectations.  

 

Financial & Resource Coordination 

  • Assist with tracking portfolio budgets, forecasts, and financial performance. 
  • Support resource planning activities, including allocation and capacity tracking. 
  • Liaise with finance and HR teams on portfolio level reporting as required. 

 

Stakeholder Engagement & Communication 

  • Act as a central coordination point between Delivery Team teams, PMO leadership, Business & Engineering stakeholders as requested by the Head of PMO.  
  • Prepare and distribute communications, updates, and portfolio summaries. 
  • Facilitate workshops, planning sessions, and project meetings. 

 
Tools & Systems 

  • Maintain PMO tools such as MS Project, Power BI, Jira, SharePoint, or Portfolio Management Systems. 
  • Develop dashboards and visual reports to support data driven decision making and daily management of the Portfolio.

  • Ability to prioritize, track and complete work without supervision. 

What you bring:

  • Degree level qualification or minimally ‘A’ level standard of education. 
  • English language – education taught in English or having passed a Secure English Language Test (SELT) to at least level B1 (CEFR) or similar recognised test. 
  • Qualification in Project Methodologies and or Agile. 
  • Experience working in a PMO, project support, or project coordination role. 
  • Ability to analyse data and prepare clear, concise reports. 
  • Proficiency with Microsoft Office tools (Excel, PowerPoint, Teams, SharePoint).
