Position Summary

The Development Department is accepting applications for the part-time 10-month contract position of Planning Services Representative. Reporting to the Coordinator, Development Administration, this position provides a variety of day-to-day essential services to internal and external customers to support the administrative and operational functions of the Planning & Development Department.

Major Job Responsibilities

Customer Service

  • Interacts with external customers and responds to inquiries in person, electronically and by telephone
  • Documents and tracks all requests from customers relating to planning and building, ensuring that responses are provided in a timely manner

Administrative Functions

  • Processes and distributes incoming and outgoing mail (courier and Canada Post) for the Department
  • Monitors and orders office supplies
  • Performs other duties as assigned to support Departmental and Corporate objectives
  • Input, track and file all department invoices. Ensuring that invoices are properly filed and are readily available for staff internally and corporate wide for multiple reasons, including: Auditing purposes, proof of payment.
  • Ensures that a supply of all Planning and Building Application forms are printed and available
  • Assists in the printing and circulation of applications, decisions, notices and other correspondence
  • Performs other duties as assigned to support Departmental and Corporate objectives which may include providing back up to the Building Department.

Education & Experience

  • Post-secondary diploma/certificate in Business Administration or equivalent

  • Minimum of one (1) year of experience in a related field

  • Completion of the Municipal Administration Program through AMCTO is preferred

  • One (1) year experience in a municipal Planning or Building Department is preferred

Additional Skills

  • Able to demonstrate practical knowledge in general office administration

  • Familiar with municipal policies and procedures

  • Proficient in Windows based software including Word and Outlook

  • Excellent communication, interpersonal skills and customer service skills

  • Strong organizational and time management skills

  • Able to work independently and within a team in a fast paced office environment

  • Ability to meet deadlines under pressure and adapt to changing priorities

  • Strong problem solving and dispute resolution skills

Hourly Rate: $27.01-$33.77/hr
