This job is primarily responsible for overseeing the daily staffing and coordinating essential office administrative functions to ensure productivity of daily operations. Responsibilities include, but are not limited to, working with management to determine staffing needs, engaging with staff on training and providing coaching and feedback, keeping records and/or files up to date, and conducting a variety of advanced administrative duties. Additional duties will vary upon division and/or location at which the work is performed and could include accounting functions, human resources support, or other business-related duties as assigned.

In this job, you will:

  • Develop, manage, and schedule personnel to multiple shifts, adjusting as needed to accommodate operational and/or staff changes.
  • Plan, coordinate, and assign daily work for crew.
  • Assist with human resources functions (such as new hire onboarding, document verification, seasonal hiring, etc.).
  • Maintain accurate records, timesheets, and related reports.
  • Oversee and document staffing activities (conduct interviews, make hiring decisions, training, coaching, and developing, employee performance management, promotions, corrective actions, terminations, etc.).
  • Manage daily office operations and procedures, ensuring efficient operations.
  • Supervise and coordinate overall administrative activities for the assigned office(s).
  • Perform data entry, prepare, and distribute reports as needed.
  • Sort and file; electronically and/or paper.
  • Ability to comprehend and uphold union labor contracts (at applicable locations).
  • Conduct investigations and create thorough reports for the loss control department on crew related incidents, damage, and/or injuries.
  • Enforces safe work practices, using experience, judgment, company policy, and OSHA specifies and conducts safety training in accordance with company policies and procedures.
  • May be delegated the authority to investigate incident reports, damage claims, etc., and to settle minor damage claims.
  • Coordinate inventory deliveries and ensure timely receipt of materials and supplies.
  • Pick up and distribute employee paychecks as required.
  • Serve as the first point of contact for visitors entering the facility; direct them to appropriate personnel.
  • Support general office operations and ensure smooth communication between departments.
  • Sign off on received goods and services to authorize invoice processing by clerical staff.
  • Other duties as assigned such as participating in special projects.

Education

Required – High school diploma or equivalent combination of education, experience and training.

Experience

Preferred – Supervisory experience.

  • Proficient computer skills, including working knowledge of Microsoft Office Suite.
  • Effective interpersonal, oral, and written communication skills with the ability to interact with all levels of people within and outside the organization.
  • Strong organizational and time-management skills.

  • Ability to handle confidential information with discretion.
  • Ability to effectively coach, mentor, and lead staff to accomplish assignments.
  • Ability to exercise independent judgment in staffing, scheduling, and performance management.
  • Ability to adjust to staffing requirements and take independent action without close supervision.

Physical Demands & Requirements

Light work. Exerting up to 30 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for light work.

Hearing. Perceiving the nature of sounds at normal speaking levels with or without correction.  Ability to receive detailed information through oral communication, and to make the discriminations in sound.

The employee is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.

The physical environment requires the employee to work primarily inside where there are limited extremes to heat and/or cold; moderate noise; a normal office environment. The physical environment may require infrequent exposure that requires the employee to work outside in heat/cold, wet/humid, and dry/arid conditions.

Travel may be required for trainings and meetings.
