The opportunity 

We are seeking a highly proactive and resourceful Personal Assistant to provide exceptional support to the Chief Data & Analytics Office and its team in a dynamic and fast-paced environment. In this role, you will act as a trusted partner, anticipating needs before they arise, removing obstacles, and creating the time and headspace for the team to focus on what matters most. Your contribution will be critical in enabling the seamless execution of day-to-day operations and driving the delivery of the department’s strategic objectives

Your new role 

You’ll keep priorities on track and make sure our leaders and teams deliver with pace and clarity. In this role, you will: 

  • Manage complex calendars and inboxes, triaging and prioritising to protect focus time. 

  • Coordinate meetings end-to-end, including agendas, packs, minutes and follow ups. 

  • Organise interstate travel and briefing packs in line with policy. 

  • Handle confidential matters with discretion and professionalism. 

  • Support expense and approval processes, ensuring compliance with internal policies. 

  • Build team connection through proactive communication and coordination of staff updates. 

About you 

You are organised, composed and a critical thinker—someone who knows what's important and thinks two steps ahead. You bring: 

  • Proven PA/EA experience in a fast paced environment. 

  • Exceptional diary/inbox control and confident gatekeeping. 

  • Meeting discipline: agenda setting, pack preparation, minute taking and action tracking. 

  • Tech confidence across Microsoft 365 and a willingness to trial better tools. 

  • High discretion and confidentiality in handling sensitive information. 

  • Insurance or financial services exposure is ideal (not essential). 

  • Team player, adaptable, and culturally astute working with diverse stakeholders.
