Personal Assistant for HR Leads

We are looking for an hands-on and proactive Personal Assistant who will make an impact by keeping the organization running smoothly and ensuring the HR Leads can focus on their core responsibilities.

The team
You will be the Personal Assistant for 5 HR Leads, who are members of the HRLT. Together with the PA for the HR Director Netherlands and a PA for the Head of People Services and CoE leads you will form a team. The HR Lead for COO will be your hierarchical manager.

Roles and responsibilities
As a Personal Assistant you will deliver high-quality executive and team support to leaders in the HR Netherlands. You collaborate closely with other assistants in the organization and the Business Manager to the HR Director NL. You anticipate needs, safeguard agenda’s and follow through ad hoc requests.

  • You coordinate complex calendars for multiple HR leaders; assess priority, sensitivity and objectives for each request. Plan, reschedule and optimize meetings across time zones; monitor reminders and proactively follow up on actions.

  • For some, you will arrange business travel, itineraries and manage visas.

  • You help in organizing internal/external events, off-sites and assisting with management activities and special projects. This could include supporting administrative processes such as expense claims, catering and onboarding.

  • You will provide backup coverage for other assistants in HR to ensure continuous service for the HR Leadership team.

  • You should excel in prioritising tasks, and multitasking. Clear and concise communication is essential, as is an eye for detail and diligence in task execution.

  • You are experienced with complex calendar management, travel planning, project management, event organization, and administrative tasks. You have excellent organizational skills and organizational sensitivity and can switch quickly when priorities change.

  • You can communicate effectively with diverse audiences and can handle confidential information discreetly.

  • You are able to build strong working relationships with colleagues and external partners; represent ING with integrity. Building and maintaining relationships with colleagues and stakeholders, both within and outside the organisation, is crucial for the effectiveness of a PA.
